The Hospitality Project Manager (HPM) is a member of the hospitality project development team with the primary responsibility of representing the company (Herschend Family Entertainment & Regional Property) interests at all times as it relates to the project, primarily the schedule and the budget. The HPM does not duplicate any of the responsibilities of the planning, design or construction team members and works on behalf of HFE and the regional property interests of a project at all times.
The HPM assist the SVP Hospitality throughout all phases of a project by navigating the daily needs of a project and maintains the flow of information required by the other members of the planning, design, construction and operational stakeholders in the project.
RESPONSIBILITIES -
- Keep the project on budget and schedule.
- Maintain a goal of reducing costs, maximizing value, and ensuring construction quality while performing their role.
- Creates, reviews, and shares metrics relating to project execution, bid processing, and contract efficiency.
- Works directly with outside consultants to ensure deliverables and the contractual Scope of Work (SOW) metrics are achieved on a daily basis.
- Interface daily with the Construction Manager’s (General Contractor) project management team to ensure project is on budget and schedule.
- Maintain the project “trend log” for any contingency funding necessary for the project.
- Maintain accurate monthly, quarterly and annual cash flows for a project to ensure accuracy to the approved “COWS Grid As Spent” for the project.
- Ensure the proper PER Account Coding is in place for the regional accounting team to “build the asset” during all phases of the project.
- Develop alternate scenarios for all issues that arise in a project for the SVP Hospitality to consider before making final determinations on direction.
- Maintain every Construction Division budget by line item to ensure accuracy and to eliminate “allowances”
- Interface with HFE Creative Studios on all Critical Creative Elements (CCE’s) to ensure they are properly integrated into the project construction in a timely and efficient manner.
- Identify and maintain a project schedule for each CCE contained in the project.
- Work as directed by the HFE Creative Studio team to assist in any CCE development or as deemed necessary by the Studio.
- Identify and utilize a proper system or software to collect all Requests for Information ensuring the project has a centralized portal for the flow of all information and RFI responsibilities.
- Ensure Shop Drawings are submitted on time and responded to by Architect in a timely and efficient manner as per the specifications in the Construction Documents.
- Manage the Construction Administration (CA) Budgets for all outside consultants during the project ensuring that time is maximized and all CA expenses are controlled within budget.
- Analyze all submitted Change Orders thoroughly and expertly negotiate resolution on behalf of the Company before submitting to SVP for approval.
- Analyze the architectural CD submittal thoroughly identifying “gaps” that could cause Change Orders or coordination issues during the project, always be ahead of construction.
- Interface with the project accounting team to ensure all Applications for Payment by Construction Manager are accurate, in sequence, as billed, and all necessary attachments are in place.
- Maintain a log tracking “retainage” in the project and the CM’s contingency budget.
- Ensure all equipment rental is properly tracked in the project to ensure Company is accurately billed by CM.
- Review and compare “on site” equipment and material quantities to the Guaranteed Maximum Price (GMP) submittal ensuring accuracy throughout construction on behalf of the Company.
- Be “on-site” frequently and in constant communication throughout the project construction especially with the Construction Manager, Contractors.
- Closely observe the construction through all phases to ensure everything is completed on-time and according the design documentation.
- Work with the Company’s outside Owner’s Representative, if any, to assess construction risks throughout the project.
- Oversee the building occupancy process and the installation of all FF&E.
- Work closely with the Procurement Consultant to ensure the FF&E is tracking according to schedule.
- Monitor the “warehousing” of FF&E and ensure deliveries to site are in complete coordination with the building occupancy plan.
- Create the building Punch List once the construction phases allow.
- Once occupancy is complete manage the Punch List and Closeout of the Project, ensuring all contractual obligations have been met.
- Always ensure the regional property operations team where a project is being developed is properly represented during all phases of the project.
- Develop the long-term preventative maintenance plans based on installed systems of the building for hand off to the regional property operations team.
- Maintain contemporaneous notes, logs, and pertinent information in Drop Box for proper archiving of the project throughout all phases.
- Maintain a photographic timeline of the project and important milestones for the archive.
- Develop a project plan for all hospitality remodeling projects.
- Manage all renovation and revenue projects for a hospitality company asset through all phases of the project.
- Work with all stakeholders in a renovation or revenue project to create a constant cadence of keeping a project on time and on budget.
- Work with the SVP Hospitality to develop the “Playbook” for hospitality projects from the “idea” to “opening day” ensuring we are constantly improving our processes.
- Maintain a “project” folder in Drop Box from “day one” for all planned or existing hospitality strategies.
- Assess all hospitality assets for “existing conditions” and work with SVP Hospitality to develop a plan to make improvements as necessary for any Company acquisitions of Hospitality Assets.
- Assist the SVP Hospitality as necessary in the execution of their duties and responsibilities.
Required Skills
- Proficient computer skills including working knowledge of Microsoft applications, and other common software.
Required Experience
- College degree required.
- Minimum of five (5) years of experience in a related role on projects in excess of $10M.
- Prefer experience in themed hospitality or theme park environments.
