The individual in this position will be service-oriented and have adequate knowledge in operating various commonly used office equipment and technology. Status: Full-time Classification: Non-exempt Location: St. Petersburg, Fla. Work Hours: M-F, up to 40 hours/week Essential Functions: * Coordinate office activities and operations for efficiency and compliance to office practices * Enthusiastically represent MiLB and establish rapport as primary contact with vendors, industry partners, guests, and other visitors to the Minor League Baseball office * Serve as point of contact for office building, equipment, and basic technology maintenance; troubleshoot, request repairs, renew contracts, and handle other related issues as they arise * Oversee building security, access control, and fire monitoring systems; assign/replace building access cards and work with vendor to enhance systems * Assist with IT department functions such as password resets, account creation, and routine software installation; work with vendor to facilitate moves, adds, and changes to phone requirements * Assist with SharePoint onboarding and coordination and other IT initiatives as requested * Assist with planning and organization of various meetings and events that take place in the office; coordinate facility, equipment, food, and beverage needs * Communicate office-wide announcements and events to staff, as requested * Provide administrative support to staff wherever necessary * Participate in office-wide staff meetings and other meetings as needed; take down and disseminate relevant notes * Receive and direct telephone calls and relay conversations and pertinent messages to others while maintaining accuracy, clarity, and confidentiality; answer basic inquiries made by callers and guests * Develop and maintain efficient method to track and re-stock office and breakroom supplies; place orders when necessary and record purchases made * Assist finance department with various tasks, as requested * Receive and distribute all mailings and deliveries to appropriate staff, visiting Post Office daily to pick up and drop off mailings; assist with preparation of mass mailings as needed * Accurately prepare periodic reports pertaining to uniform royalties, team facilities, team equipment, and stadium names * Assist with preparation of materials for MiLB University and MiLB Umpire Training Academy (MiLBUTA) * Develop GCL Umpires schedule; assist with Dominican Summer League schedule * Assist with preparation for Baseball Winter Meetings and other events, as needed * Maintain and track Umpire and MiLBUTA equipment and supplies * Ensure information on MiLBumpires.com and GCL directory is accurate and up-to-date * Perform other duties as assigned by the Assistant Director, Baseball & Business Operations Experience and Skills: Education & Experience: * Bachelors degree, required * 1 to 2 years of relevant experience, preferred * Strong knowledge of computer, email, and MS Office suite Skills & Attributes: * Excellent oral and written communication skills * Detail oriented with a high degree of accuracy * Highly organized and flexible * Ability to multi-task and meet changing deadlines * Must be self-directed and able to complete projects with limited supervision * Maintains confidentiality Additional Notes: * Minimal travel may be expected in this position * Must be physically present at work location during business hours * Professional office environment; this position uses standard office equipment such as computers, phones, photocopies, filing cabinets and fax machines * Primarily sedentary role; however, some filing required including the ability to lift files, open filing cabinets and bend or stand on a stool or lift up to 40 pounds as necessary * Must be able to successfully pass a background screening and social security verification The preceding job description has been designed to indicate the general nature and essential duties and responsibilities of work performed by employees within this classification.
