    The Administrative Assistant position is to support management, associates and visitors to our office. Must be able to multi-task, prioritize in order to get it all done. Must be able to handle confidential information, excellent communication skills, professional at all times, polite, business acumen and demonstrate a positive presence in the workplace.

    This role will handle day to day activities, greet visitors, use of phone / email / Outlook, calendars, travel arrangements, submit travel receipts for reimbursement, fax, photocopy, presentations and general office tasks.

    To be successful as an Administrative Assistant, must be attentive to detail and have the ability to anticipate the needs of the office. Must be responsive, able to resolve situations independently and meet each challenge directly.

    WHAT IS A DAY IN THE LIFE AT FLAGSHIP AS AN ADMINISTRATIVE ASSISTANT?

    • Provide stellar assistance to management and visitors to the company in a polite and professional manner whether by phone or email, etc.

    • Manage the reception area of the Flagship Credit Acceptance lobby.

    • Greet and assist visitors.

    • Handle general office tasks, such as filing, generating reports, presentations, setting up for meetings, and ordering supplies.

    • Provide real-time scheduling support by booking appointments and preventing conflicts.

    • Assists VP and SVP in day-to-day activities including the coordination of meetings and schedules, email management, and calendar oversite.

    • Make travel arrangements, airline flights, rental cars, hotel and restaurant reservations.

    • Coordinate with potential clients and / or guests to the office.

    • Screen phone calls and routine callers to the appropriate party. Us computer and software to generate reports various types of reports used by management, transcribe minutes from meetings.

    • Input or review management content of draft presentation decks.

    • Maintain professional communication via phone, email, and mail.

    • Order supplies for the office.

    • Able to set-up conference rooms for meetings and presentations.

    • Assist with routine administration Loan Servicing tasks, as needed.

    • Anticipate the needs of others in order to ensure their seamless and positive experience

    • Perform other duties assigned.

    EDUCATION (REQUIRED/PREFERRED):

    REQUIRED:

    • High School Diploma or Equivalent

    EXPERIENCE (REQUIRED/PREFERRED):

    • 0-2 years of related experience and/or training, or equivalent combination of education and experience

    QUALIFICATIONS:

    • Exceptional verbal and written communication

    • Attention to detail

    • Excellent time management skills and the ability to prioritize work

    • Ability to achieve and even surpass established goals

    • Must be punctual, dependable attendance and ability to work beyond normal hours, as needed.

    • Adhere to instructions, processes, procedure, policy, and management direction

    COMPUTER SKILLS:

    • Must be proficient with computers, general office machinery, EXCEL, WORD, PowerPoint (presentations), office and cell phones, phone systems - setting up conference calls, skype, etc
