Role Overview The Administrative Project Coordinator will provide support to Chartis Oncology Solutions senior administrative assistants and director of administrative services, with a focus on calendar management, travel planning, meeting preparation, and expense report management. Responsibilities * Provide calendar support, including scheduling meetings and identifying and resolving conflicts based on an understanding of clients, activities and priorities * Arrange travel (air, hotel and car) for partners and consultants, who typically visit multiple US cities each week. Make last-minute travel changes as required. * Prepare and submit monthly expense reports as needed * Manage client contact information * Prepare and manage correspondence (e.g., e-mails) as needed * Type and proofread documents (e.g., engagement letters, reports) upon request * Develop agendas/schedules for client site visits * Provide assistance with Clinical Performance Groups: * Contact members who have not yet RSVPd for meetings * Prepare meeting folders for members * Prepare flash drives for members * Create a table of contents for the articles for each team meeting * Other related tasks as needed * Provide backup receptionist coverage, including greeting visitors ordering/picking up lunch and answering and directing incoming calls * Support other special projects and/or administrative activities in support of firm objectives Qualifications & Desired Skills * At least 2-3 years of experience providing administrative support in a professional services environment (e.g., consulting, legal, financial services) * Bachelors degree preferred * Exceptional organizational skills, including ability to multi-task and prioritize competing demands in a fast-paced, dynamic environment * Excellent verbal and written communication skills * Outstanding client service orientation?highly responsive and willing to go the extra mile * Keen attention to detail * Sound judgment and a high level of maturity * Outstanding team player and contributor to a collaborative, energizing, and fun work environment * Proficient in Outlook, Word, PowerPoint and Excel, with an aptitude to learn other tools and applications * Strong interest in being part of a small, growing organization with a vibrant entrepreneurial spirit At The Chartis Group, we pride ourselves on having a diverse workforce.
