ROLE OVERVIEW As an Office Coordinator, you are responsible for managing front office activities and services, including the reception area, mail, supply inventory, and facilities. Here are the roles youll play: The Go-To Person Serve as the point of contact for security and parking offices, athletic center, building management, and cleaning services Request, distribute, and replace access cards and validation tickets Assist with coordination and execution of office meetings and events as needed The Office Overseer Manage the reception area to ensure effective telephone and mail communications both internally and externally to maintain professional image Assist as needed with maintenance and alteration of office areas and equipment as well as layout, arrangement, and housekeeping of office facilities Purchase, stock, and maintain all office supplies The Multitasker Maintain clean and organized common areas and workrooms Facilitate birthday and service anniversary recognition programs Partner with other support staff to develop an office support network and a reception desk back-up system Participate as needed in special projects THE IMPACT YOU CAN MAKE Team meetings are expertly coordinated, communications are effectively transmitted, and everyday tasks just seem to flow more smoothly with you on board. You are a relationship builder and your presence improves the collaboration within the leadership team with clients, vendors, and investors. Your colleagues know office processes are running more smoothly, but cant put their finger on why. (Spoiler alert: Its because youre keeping them organized every step of the way!) YOUR BUILDING BLOCKS OF SUCCESS Stellar 3+ years of office administrative experience High school diploma or equivalent education Competency in coordinating and reviewing reports, including market surveys and income statements Working knowledge of mail processes such as postage machine, FedEx, and UPS Strong attention to detail and ability to anticipate needs Exceptional planning, organizational, interpersonal, and communication skills Experience working with RealPage and OneSite Accounting; prior knowledge of YieldStar Proficient with the Microsoft Office Suite; experience with Concur and travel management software preferred Ability to lift approximately 15-20 pounds THE CORTLAND DIFFERENCE At Cortland, we create, reimagine, and manage apartment communities for residents nationwide.
