    JOB SUMMARY:  Perform all duties required for proper billing of repair orders, includes organizing job packets, issuing materials, confirming label and materials on jobs, obtaining purchase order, invoicing and credits.

    ESSENTIAL DUTIES & RESPONSIBILITIES:

    • Receive job packets from the customer service estimator.
    • Sort the job packets for delivery tickets and purchase orders.
    • Match any loose delivery tickets, purchase orders, etc. to incoming job packets.
    • Organize the job packet, remove excess staples and attach small papers, etc to the main job ticket so that nothing has a chance of getting lost.
    • Issue materials, miscellaneous expenses, out-sourced work, and interdepartmental charges to the job.
    • Print the required job reports to ensure that all labor and materials have been issued to the job.  If there is a large discrepancy between the job cost and the selling price, either positive or negative, then the packet should be reviewed before billing it.
    • Call customers for any outstanding required information such as purchase orders, billing information, etc.  Be sure the “bill to” and “ship to” addresses are correct.
    • Assist the credit department in collections or supply information to the customer when requested.
    • Issue credits and replacement invoices as required.
    • Handle cash checks and credit card transactions for accounts receivable.
    • Print necessary month end reports as needed.
    • Assist in answering incoming phone calls when required in a professional courteous manner.
    • Print delivery tickets when needed.
    • Keep track through a Daily Hot Sheet (checklist) critical items that need to be done each day.  Items not completed by the end of the day should be put at the top of the next day’s list.  Old partially completed lists should not be kept; instead it is recommended to compiler a new list at the end of each day to be used when you start the next day.  Daily planners are excellent to use for this.  Avoid using sticky notes.
    • Be involved with cross training when required.
    • Adhere to all company policies.
    • Assist in other areas of customer service department when needed.
    • Observe all safety procedures and policies and use proper protective equipment (especially eye, ear protection and steel toe shoes/boots, gloves, etc.).
    • Keep work area clean and organized.
    • Report all injuries, near misses and accidents immediately to a supervisor.
    • All other duties as assigned.

    Required Skills

    EDUCATION, SKILLS AND EXPERIENCE:

    • High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.
    • Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals.
    • Ability to write routine reports and correspondence.
    • Ability to speak effectively before groups of customers or employees of the organization.
