The Office Assistant supports company operations by maintaining office systems and providing administrative support to the Managing Director, Head of Underwriting, staff, advisors, clients, and candidates in the Oklahoma City, OK office.
Your responsibilities include:
Assist in the Recruiting, Production, and Management efforts
Coordinate the Managing Directors schedule, and maintain the OKC training, event, and conference room calendars
Perform policy service duties for clients, print policies, act as a liaison between the underwriter & agents, submit premium and delivery requirements as requested
Train and assist agents in using the underwriting website and NetX360
Run Illustrations for agents
-Maintain electronic and physical filing systems
Create, upload, and maintain all client, advisor, and candidate information in Living Balance Sheet and SmartOffice
Greet and welcome all candidates and clients who enter the office
Assist the Managing Director in updating the recruiting pipeline, and in leading candidates through the recruiting process
Attend and help conduct all recruiting fairs in the Oklahoma City area
Maintain office services by organizing office operations and procedures; controlling correspondence, forms, applications, marketing materials
Maintain and monitor office equipment: printers, copy machines, postage machine, telephone systems
Ensure all marketing materials are in stock and up to date
Provide phone support for the firm on as needed basis
Maintain and order office supplies
Schedule expenditures such as postage, food/drink, services
Coordinate special events as needed
Other responsibilities as needed
Microsoft Office Suite
Previous experience working in an office environment
Ability to multi-task and stay organized
