    Job Description

    Henderson Financial is seeking a highly organized and detail-oriented part-time office assistant to support a financial advisor in managing day-to-day operations, client communications, and data. The ideal candidate will be proficient in Excel, have a strong ability to manage multiple tasks, and demonstrate excellent communication and organizational skills. This position offers flexible hours and the opportunity to gain experience in the financial services industry.

    Key Responsibilities

    • Client Data Management: Update and maintain client records, ensuring accuracy and confidentiality. Prepare client reports, track account performance, and assist with document organization.
    • Excel Data Entry & Analysis: Create and maintain complex Excel spreadsheets, perform data entry, and generate financial reports. Candidate must be comfortable with advanced Excel functions such as formulas, pivot tables, and data analysis.
    • Scheduling & Calendar Management: Manage the Financial Advisor’s calendar, schedule meetings, and coordinate appointments with clients and other stakeholders.
    • Correspondence & Communication: Draft and send emails, letters, and other communications to clients and vendors. Assist in preparing presentations and other marketing materials as needed.
    • Document Preparation: Prepare, proofread, and organize financial documents such as client proposals and reports. Ensure documents are well-organized and easily accessible.
    • General Administrative Support: Answer phone calls, take messages, and handle basic inquiries. Assist with office organization and maintain filing systems for both digital and paper records.
    • Client Interaction: Serve as a point of contact for clients, handling questions or directing inquiries to the Financial Advisor as appropriate.

    Requirements:

    • Must Be Proficient in Microsoft Excel: Strong skills in Excel are required. Must be comfortable with advanced functions such as VLOOKUP, pivot tables, data validation, and financial modeling.
    • Previous Administrative Experience: 1-2 years of experience in an administrative or office support role, preferably in a financial services or client-focused environment.
    • Strong Organizational Skills: Ability to prioritize tasks, manage time effectively, and maintain high attention to detail in a fast-paced environment.
    • Excellent Communication Skills: Clear and professional communication, both written and verbal. Ability to interact with clients and team members in a courteous and professional manner.
    • Comfortable using office software such as Microsoft Office Suite (Excel, Word, Outlook), and CRM or financial planning tools (training can be provided if needed).
    • Self-Starter: Ability to work independently and take initiative in solving problems or addressing needs.

    Preferred Qualifications:

    • Experience in the financial services industry or working with financial advisors is a plus but not required.
    • Basic knowledge of financial terms and concepts is helpful.

    Working Hours:

    • Part-time and In-office. Approximately 25 hours per week. Some flexibility in scheduling, but must be available during core business hours for meetings and deadlines.

    Compensation: $25-$30 per hour
