Receptionist/Administrative Assistant
SUMMARY
Leading full-service investment firm seeking Receptionist/Administrative Assistant to support Financial Advisors who handle stock market investments for their clients.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Answer, screen, and forward calls, provide information, take messages, and schedule appointments.
Greet clients/guests, determine nature and purpose of visit, and direct or escort them to their specific destinations or notify appropriate ‘host’ employee of arrival.
Perform administrative support tasks such as operating calculator or computers to work with various records, invoices, balance sheets, and other documents.
File and maintain records
Schedule appointments and maintain and update appointment calendars.
Provide information about the Firm such as location of departments or offices, employees within the organization, or services provided.
Keep work area and reception lobby tidy and presentable.
QUALIFICATIONS
Knowledge of Microsoft Outlook Office Suite
Able to talk to others to effectively convey information. Must speak clearly and distinctly
Able to understand written communication in work related documents
Able to effectively communicate in written form
A good understanding of basic grammar
Possess phone/office etiquette
Aware of others' reactions and understand why they react as they do
Actively looks for ways to help people
Manages one's own time and respects others' time
Consider relative costs and benefits of potential actions to choose the most appropriate one
Knowledge of the principles and processes for providing customer service (needs assessment, meeting quality standards for service and evaluation of customer satisfaction)
Knowledge of administrative and clerical procedures and systems such as managing files and records and other office procedures
Knowledge of transmission, switching, control and operation of telecommunication systems
Basic knowledge of office hierarchy/personnel
EDUCATION AND/OR EXPERIENCE
High School Diploma or equivalent required
No experience required, 1+ years of similar work experience preferred
SYSTEMS AND TECHNOLOGY
Base salary annualized range:$39,900 - $58,800. Actual salaries may vary, and may be based on several factors, including but not limited to each candidate’s qualifications, skills, and overall competencies for the position. The base salary is one component of Stifel’s overall compensation package for each individual employee.
