  • Responsibilities

    The Policy & Knowledge Administrator manages the review, posting and distribution of all Policies and Procedures (P&Ps) for the Credit Union, its subsidiary service organizations (CUSOs) and the Board. This position will be equally responsible for the system implementation and day-to-day administration of Kinecta’s Knowledge Management System (KMS). Kinecta’s KMS will serve as the organization’s intuitive knowledge base for delivering organizational content that quickly retrieves answers on existing processes and procedures.

     

    ESSENTIAL DUTIES AND RESPONSIBILITIES:

    Reviews new and existing P&Ps for the enterprise to:

    • Ensure compliance with laws and regulations, and related P&Ps, throughout the review cycle.
    • Ensure consistency in formatting of documents and language that is clear and conspicuous
    • Track all upcoming P&Ps and report on any overdue items on a monthly basis
    • Drafts memos summarizing approvals or any updates to P&Ps for the relevant stakeholders
    • Once approved, ensure posting of P&Ps to Diligent Board and/or other designated portals.

     

    1. Administers Kinecta’s KMS and drives compliance enhancements for integration with P&Ps. 
    2. Works closely with designated points of contact/subject matter experts within the lines of business to ensure that any P&Ps submitted are reflective of the current operational process. This role will help harmonize departmental P&Ps by drafting recommended edits, as needed. 
    3. Works closely with Information Technology (IT) to help to structure Kinecta’s knowledge base efficiently and assist frontline personnel in optimizing the member experience 
    4. Provides support to the VP of Enterprise Compliance during internal audits, regulatory examinations or department-related initiatives. 
    5. Assists Regulatory team in monitoring changes to federal or state regulations that may impact Kinecta; works with the Legal Department to ensure the correct interpretation of new rules. 
    6. Reports to management (Sr. Compliance Manager, VP Enterprise Compliance and/or Chief Risk Officer) on the progress of any assigned projects or items requiring attention. 
    7. Maintains standard operating (desktop) procedures with user details on how to administer Kinecta’s P&P and KMS systems.

    • Highly organizational with the ability to perform work on multiple, concurrent tasks
    • Experience developing organizational content and/or a knowledge base
    • Excellent computer skills, including proficiency in Microsoft Office and Adobe Acrobat.
    • Strong analytical and problem-solving skills
    • Ability to interact with staff, members and others encountered in the course of work
    • Ability to learn and apply new enhancements towards (P&P and KMS) systems
    • Project Management experience, including the ability to work under tight deadlines

    Required Experience

    EDUCATION, TRAINING AND EXPERIENCE:

    Potential candidates for this position must meet the following requirements:

     

    • Bachelor’s degree from an accredited college or university with course work in finance, business, communications and/or a combination of education and related experience
    • Minimum one to three years of experience in a communication-related field
    • Minimum one to three years of experience in compliance or finance-related field
    • Compliance-related certification preferred: Credit Union Compliance Expert (CUCE), NAFCU Certified Compliance Officer (NCCO), NAFCU Certified Risk Manager (NCRM), Certified Compliance & Ethics Professional (CCEP), Certified Regulatory Compliance Manager (CRCM), Certified Community Bank Compliance Officer (CCBCO)
    • Certified Knowledge Manager (CKM) or Knowledge-Centered Service (KCS) v6 certification highly desirable
