Job Title: Administrative Assistant Department: Administration Reports To: Utility Billing Supervisor Status: Part-Time, Non-Exempt (Hourly) Starting Wage: $11.95-$14.32 per hour DOE Close Date: January 9, 2019 Hours: 20 hours per week, Monday-Friday 10AM-2PM Position Summary: This position is responsible for performing a variety of clerical, secretarial and administrative support for department, supervisor, and/or other professional staff. Answers incoming phone calls; provides assistance to the public and other; coordinates various office functions and services; writes, drafts, and processes data, documents and reports; and other duties as assigned by the Utility Billing Supervisor and/or the Administrative Services Director. Essential Duties and Responsibilities: Answer questions according to established guidelines; Route calls and visitors to appropriate source; Independently respond to letters and general correspondence of a routine nature; Type a variety of materials, including general correspondence and memoranda; Initiate and maintain a variety of files and records; Process outgoing mail; open and distribute incoming mail; Manage front counter transactions including but not limited to processing applications and receiving cash; Maintain a productive working environment which includes, but is not limited to, a spirit of cooperation with co-workers, peers and the public, Other duties as assigned by the Utility Billing Supervisor Required Knowledge, Skills, and Abilities: Knowledge of secretarial and office practices and procedures; business English usage, spelling, grammar, and punctuation; organization, procedures, and operating details of the City; City government organization, functions, policies, rules, and regulations. Skilled in office management duties; word processing; composing correspondence; handling multiple projects with interruptions; prioritizing and organizing workload to meet deadlines. Ability to communicate clearly and concisely, orally and in writing using correct grammar, spelling, and punctuation; compile and maintain complex and extensive reports; complete reports and answer questions from reports; read, understand, interpret, and explain rules and regulations; coordinate work of other staff members; take initiative; work within a team; deal with people in a manner which shows sensitivity, tact and professionalism.
