    JOB SUMMARY AND MISSION 

    This job contributes to Starbucks’ success by providing dedicated administrative support of a confidential and complex nature to the vp of Channel Development and B2B Technology. The admin handles confidential and non-routine information and carries out activities following general guidelines while modeling and acting in accordance with Starbucks guiding principles, policies and procedures.

    SUMMARY OF KEY RESPONSIBILITIES 

    • Provides administrative support to the vp of Channel Development and B2B Technology in Corporate Technology.  Effectively plans and maintains one executive’s calendar with high attention to detail while allocating time and resources to promote productivity and successful coordination of executive and team goals and objectives. 
    • Performs general administrative activities including screening, directing and prioritizing incoming phone calls, email correspondence, calendar invites and mail requests from external vendors and internal business partners.
    • Serves as a point of contact for the department by answering questions, researching information, directing requests to appropriate partners and working with other partners effectively to exchange information and processes.
    • Hosts visitors, candidates and vendors by escorting, preparing coffee, booking rooms, catering snacks and lunch and coordinating trainings, workshops, demos, and meetings.
    • Performs administrative projects such as coordinating, tracking or analyzing budgets; updating databases and organizational charts; creating monthly reports or analyses; organizing large volumes of materials/data; coordinating team engagement activities (work anniversaries and milestones).    
    • Compiles various charts, tables, graphs and edits presentation materials for spelling, grammar and layout adhering to Starbucks brand guidelines (sometimes containing confidential content) for town halls, talent sessions and leadership meetings.
    • Collaborates with senior administrative assistant and facilities department in organizing team space planning and facilities maintenance efforts.
    • Supports and provides resources to department hiring managers for new partner and vendor onboarding.
    • Organizes team and department meetings, town halls, teambuilding and talent sessions by scheduling, arranging live and telepresence audiovisual equipment, reserving conference rooms, preparing coffee, ordering food and taking meeting minutes.
    • Books executive’s domestic and international travel in compliance with existing policies and procedures such as flights, hotels, transportation, offsite meetings and meal plans. Occasionally, processes travel documents such as passport, visa and TSA pre-check applications.
    • Develops strong working relationships with executive's direct reports and assists with planning their teambuilding activities, milestone events and project celebrations.
    • Actively engages with the administrative community within Corporate Technology and extended Starbucks Technology to share best practices, cascade organizational communications, develop open communication paths and provide logistical event support for broader events (i.e. hackathons, town halls, all hands, vendor forums, etc.).
    • Assists the department with procuring non-standard office supplies, branded merchandise and catering supplies when necessary.
    • Advises the department of travel and expenses and vendor management processes, complying with company policies and procedure.
    • Supports executive and department in coffee education as a part of Starbucks core business by assisting with coffee tastings and pairings to connect the product to technology.
    • Maintains regular and punctual onsite attendance.

  • Qualifications

    BASIC QUALIFICATIONS 

    • Education (minimum education level, degree or certification necessary):  
      • High School diploma/GED or 4 or more years of US military service or 3 or more years of experience in a role performing administrative assistant or coordinator job functions

        

    • Skills (minimum skills required):  
      • Ability to apply knowledge of multidisciplinary business principles and practices to achieve successful outcomes in cross-functional projects and activities  
      • Demonstrates confidence, calm composure and professionalism

      • Ability to balance multiple priorities and projects, meet deadlines and follow through on commitments  
      • Ability to communicate clearly and concisely, both orally and in writing, with attention to detail

      • Ability to have foresight into the business as a whole and anticipates the needs of the leadership team and the executive
      • Ability to consistently deliver high quality and professional customer service to both internal and external customers  
      • Intermediate proficiency in Microsoft Office Suite and SharePoint  
      • Ability to handle confidential and sensitive information in accordance with Starbucks policies and guidelines 
      • Ability to exercise sound judgment with limited supervision
      • Demonstrates an aptitude for learning new technology industry concepts on the job 
      • Knowledge of general office administration, procedures and equipment

        

    • Years of experience in specific field or utilizing designated skills (minimum needed to be qualified):  
      • Progressive administrative experience (3-6 yrs) 
      • Providing support to executive level management or equivalent (3-6 yrs)
      • Fast-paced environment (3-6 yrs)
      • Project management (3-6 yrs)
