    Description & Requirements

    Maximus is currently looking for an Administrative Assistant II in the Winchester, KY location. In this position, you will be responsible for welcoming visitors and notifying personnel of their arrival, coordinating with security to sign in visitors, and maintaining clean and safe reception area.

    Essential Duties and Responsibilities:
    - Welcomes visitors by greeting them.
    - Directs visitors to appropriate locations and parties.
    - Notifies personnel of visitor arrival.
    - Maintains a friendly and welcoming atmosphere in the lobby and engages candidates to share recruiting information as required.
    - Maintains safe and clean reception area by complying with procedures, rules, and regulations.
    - Coordinates with security to sign in visitors as needed.
    - Coordinates communication and program administration activities with the Senior Site Manager and staff as appropriate to manage work and coordinate special activities.
    - Performs administrative activities associated with projects and the running of the call center such as assistance with travel arrangements, scheduling of conference calls and meetings, AV equipment, coordination of FedEx, UPS, and other mail services.
    - Supports day-to-day department activities.
    - Excellent verbal communication skills are required.
    - Orders office supplies and enters and receives purchase requisitions.
    - Collaborates with various staff and departments in preparing special projects.
    - Provides detailed administrative, scheduling, and calendar management support to the reporting manager.
    - Strong problem solving and planning /organization skills required.
    - Must be able to multi-task, be flexible and detail oriented.
    - Other duties as assigned.
    - Overtime may be required.

    Maximus employees who have completed at least six months in their current position are eligible to apply for a posted position, and any exceptions to the six-month minimum are handled on a case-by-case basis by that specific project.

    The six-month time in position rule can be waived for CCO employees under the following circumstances: employees who were in an acting role and have returned to their home base position, employees who are currently in an acting/limited-service role applying to the same role that is RFT, employees who were unable to return to a homebase position at the end of their acting role, or limited-service employees that are unable to secure a lateral or promotional position for continued employment at the end of their limited assignment.

    Minimum Requirements

    - High school graduate or equivalent is required. Bachelor's degree is preferred.
    - Minimum of one (1) year of administrative experience in an office environment is required.
    - Excellent organizational, and customer service skills required.
    - Attention to detail and the ability to maintain accuracy required.
    - Ability to multi-task, be flexible, and work in a changing environment. Must be able to handle multiple demands from many people and complete high quality work.
    - Excellent interpersonal skills, writing, and verbal communication skills.
    - Must be able to handle confidential information and materials in an appropriate manner.
    - Strong Microsoft Office proficiency in Excel, PowerPoint required.
    - Strong problem solving skills required.
    - Type 50 net words per minute required.
    - Adheres to ethical business standards and practices.
    - Complies with program security requirements.
    - Selected candidates will be required to submit examples of business writing.

    For positions on this contract, Maximus will pay the prevailing wage rate for the location in which the employee is working, as determined by the Department of Labor. That wage rate will vary depending on locality. An applicant's salary history will not be used in determining compensation.
