In October 2018, we broke ground on a landmark new permanent home, including a state-of-the-art contemporary, flexible performance and arts space for the presentation and development of work across a range of disciplines; a second, intimate performance spacethe renovated historic Irish Arts Center theatreoptimized for the most intimate live music and conversation, recordings, master classes and special events; classrooms and studio spaces for community education programs in Irish music, dance, language, history, and the humanities; technology to stream and distribute the Irish Arts Center experience on the digital platform; a spacious avenue-facing café lobby that will be a hub for artistic and community hospitality, providing a vibrant setting for conversation and interaction between artists and audiences; and a beautiful new courtyard entrance on 51st Street where the historic Irish Arts Center building and the new facility meet. We recently completed a $60 million campaign, Almost Home, to develop and build this new facility. Position Details: Job Description: About the Position The development associate will support the development team and report directly to the director of growth and development operations. He/she will assist in building and executing a plan to cultivate and steward donor relationships for both the annual and capital campaigns. This position will be critical in assisting with special events, foundation grant applications and corporate sponsorship proposals, and database management. Working in close collaboration with the full development team and executive director, this is an opportunity for an experienced development professional who wishes to get involved with every area of fundraising with ambitious targets. A list of responsibilities include, but are not limited to, the following: Database Management and Reporting / Financial Management Budgeting and reconciliation Invoicing and collections Donor compliance, specifically for foundations, corporations and government entities Maintaining accurate and up-to-date records in database and integrity of data Cross-database management and reconciliation (events/tickets via OvationTix; Constant Contact for e-blasts; various Blackbaud products including merchant processing) Managing 'Moves Management Process' -- assigning opportunities and relationship managers Preparing reports and running lists; mining data Gift entry and processing; acknowledgements Prospect Research & Discovery Work with full development team on an ongoing and consistent basis for pipeline development and management (including segmentation) Competitive/peer analysis in philanthropic community External networking in the arts & culture/NYC/Irish communities Utilizing internal and external databases, including Target Analytics Relationship mapping; lay leadership strategies Determine capacity and rating, "target asks" and timing Cultivation & Ongoing Stewardship Pipeline management with new and existing donors Board stewardship and development; ongoing liaising with Board Creating and managing ad hoc special events Invitations to offsite partner events, opening nights, etc.; coordinating advance invitations to IAC programming Thank you calls/emails, writing personal notes, getting gifts Coordinating artist Meet-and-Greets Patron servicing: ticketing concierge and seating management VIP/special guest management, including assisting with securing event honorees High level of customer service on a daily basis Solicitation/Proposals Individual and institutional "asks" in the form of in-person meetings, phone calls, emails, letters, applications, sponsorship decks, through partners/ambassadors, through events Assigning solicitors and developing portfolios Develop compelling project narratives Create and revisit often sponsorship menu of program and physical assets (includes GetLit, PoetryFest, etc.) Plan the "ask" - how, when, what, etc. - create briefing materials Solicit and schedule meetings Ensure scheduling, logistics and execution related to development and cultivation activity are seamless Annual Appeal (year-end: holiday card and e-blast) and call programs Renewal process for all donor types Attend events onsite and offsite, programmed by IAC and other orgs (evenings and weekends may be required) Strategic Communications internal and external Working with senior management to develop content and design vision for each piece of collateral Executing mail merges Assist in the development of a holistic communications calendar for each donor segment in advance of each season and on an ongoing basis Event and non-event collateral development; invitations (mail-house and printing coordination) Ensure consistent brand/look and feel Press releases Website and social media maintenance Weekly/monthly/quarterly meetings/communication (setting agendas, taking notes and capturing action items) Brochure development, includes donor recognition Proofreading all external communications and collateral Event-Specific Vendor relations: contracting/pricing, management, payment (venues, catering/F&B, photographer, videographer, flowers, production/A/V, mail-house, printer, awards, gifts, auctioneer, designers, courier) RSVP collection/seating management/guest communications: confirmation emails, dietary requests (real-time research) Run-of-show: coordination with event consultant, coordination with venue and production, scheduling/timing Staff/volunteer management -- internal briefing, including donor bios and cheat sheets Talent management (including travel and transport) PR: press releases, Step-and Repeat management, post-show coverage After-party coordination Auction management: item solicitation and collection, donor delivery and fulfillment, in-kind tracking Gala Journal management -- design and copy, ads (solicitation and collections), printing Post-event protocol: thank you and acknowledgment (tax receipt, photo coordination), debrief Qualifications: The preferred candidate will have the following: B.A. or B.S. degree A minimum of 2-4 years of experience in fundraising, including demonstrated experience in event management and database systems (Raiser's Edge or a comparable system) Strong command of Microsoft suite: Word, Excel, PowerPoint Understanding of the principles of fundraising Accuracy, attention to details, and excellent organizational skills Excellent writing, editing and verbal communication skills Excellent research skills Graphic design experience not required, but desired Strong ability to work well under pressure and maintain a high level of confidentiality Self-directed with strong ability to plan ahead, to work independently, if needed, and set and adhere to deadlines Team-oriented work style Prioritization skills Ability to multi-task, yet maintain focus on the tasks at hand and overarching strategic goals Willingness to learn additional development best practices and styles from colleagues of differing backgrounds; curious Proven success within a highly flexible and visible, entrepreneurial culture; comfort working under tight timelines in fast-paced environment Interest in Irish arts and the Irish community Positive attitude and emotional intelligence;
