    MAMMOGRAPHY ADMINISTRATIVE ASSISTANT II

    The Department of Defense Military Treatment Facilities (MTF) in San Antonio, TX is seeking various personnel to provide services at Wilford Hall Ambulatory Surgical Center (WHASC), Joint Base San Antonio (JBSA) Lackland, Gateway Bulverde Clinic, and Reid Clinic.

    DUTIES AND RESPONSIBILITIES

    · Provide support, using the Medical Reporting System (MRS), necessary to help Breast Imaging meet all of the Mammography Quality Standards Act (MQSA) requirements for data collection, reporting, tracking, and analyzing data on mammograms and other breast-related procedures and events. Organize, analyze and validate material/information and prepare written reports. Duties include, but are not limited to, tasks such as perform mammography, factual and records research. Identify relevant mammography policies/requirements and other potential material. Draft department policies/standards according to Mammography Quality Standards Act (MQSA)/American College of Radiology (ACR) requirements; prepare correspondence, build and maintain databases and files; organize and track case files; review and monitor new and updated regulations; coordinate office activities; help with inspection/accreditation preparation. Direct education (mammography related) not needed as long as the education provides the skills to perform the above items.

    · Utilize the medical data system to help Breast Imaging meet all of the Mammography Quality Standards Act (MQSA) and American College of Radiology (ACR) requirements for data collection, scheduling, reporting, tracking, and analyzing data on mammograms and other breast-related procedures and events. Must be able to research standards for various professional organizations that directly impact the mammography department – i.e. Food and Drug Administration Mammography Quality Standards Act (FDA/MQSA); American College of Radiology (ACR); American Cancer Society (ACS); Society of Breast Imaging (SBI); U.S. Preventive Services Task Force (USPSTF); American College of Obstetricians and Gynecologists (ACOG).

    · Assist in preparing for inspection reviews and participate in inspections. The Officer in Charge or Non-Commissioned Officer in Charge will determine and prescribe priorities in terms of general types of work and identify limitations of assignments, deadlines, and methods.Assist in updating department Standard Operating Procedures (SOPs) as needed; patient safety/advocate; coordinating appointments/health management with the Coumadin clinic, General Surgery department and SAMMC MRI for breast imaging. Validate mammography credentials for potential new hire mammography staff. Track potential funding for mandatory mammography inspections/accreditations as well as office supplies. Manage the electronic schedule to project room availability for staff (technologists/radiologists) shortages.

    · Schedule patients for special procedures, track medical outcomes, and follow up on current medical systems (i.e., that any additional orders are reflected and that the exams are completed). Tasks may include: enter mammography procedure orders into CHCS; enter lab orders for pregnancy tests and tissue pathology; enter general surgery consults in CHCS; schedule mammography/procedure appointments; coordinate positive biopsy patients with the SAMMC General Surgery Breast Cancer Clinic; communicate breast biopsy results to patients; provide assistance to immediate staff with technical issues and reporting requests; Patient Advocate enter and file hard copy customer comment cards into the Interactive Customer Evaluation (ICE) system; office supply custodian.

    · Prepare monthly summary worksheets and quarterly reports for the Diagnostic Radiologists of all Mammograms read, the number of additional view exams resulting in biopsy, the number of biopsies recommended, the number of positive biopsies, and the number of any special procedures done. In addition, calculate the following: additional view recall rate, percentage of additional view exams resulting in biopsy or close follow-up, biopsy recommended rate, and true positive biopsy rate.These tasks shall only be accomplished by MAA since the accumulated reports result in many final annual reporting for the MQSA annual inspections and well and the re-accreditation requirements with the ACR. These are large part of the record keeping.

    · Maintains data to track the technologist, physicist and radiologists’ credentials for the Chief of Breast Imaging. Provide radiologist and/or other facilities with credentials info and/or number of mammography exams for each radiologist upon request.

    · Maintain MRS for JBSA WHASC and order entry for JBSA Randolph Air Force Base exams to be read at JBSA WHASC. When necessary, the MAA shall serve as acting support staff to the Radiology Picture Archiving System (PACS) office to provide technical and informational support to all the Air Force Mammography departments concerning MRS. Shall also interface with CHCS/PACS as part of the Air Force MRS Enterprise (all sites are on the same database). Create new personnel accounts and/or updating existing accounts in MRS as one of only four MRS administrators. Shall serve as subject matter expert (SME) for MRS.

    · Shall attend and participate in department meetings and other appropriate activities. Shall maintain communication with upper-level facility management, department command/management, radiology personnel, clinicians and patients on department policies and mammography outcomes/results on a professional basis. Communication with FDA, MQSA and ACR support staff regarding regulations and policies. Communication with mammography management and staff at other Air Force sites on a regular basis.

    JOB REQUIREMENTS ARE AS FOLLOWS:

    · Must have Associate degree from an accredited educational institution.

    · Must have 3 years’ experience as a Mammography Administrative Assistant.

    · Ability to demonstrate knowledge and experience regarding the above described regulatory requirements of the Food and Drug Administration (FDA)/Mammography Quality Standards Act (MQSA), American College of Radiology (ACR) through a combination of knowledge, experience and job related tasks.

    · Effective communication of mammography standards/regulations in layman terms to immediate staff, facility management, mammography course students as well as other mammography Air Force sites.

    · Ability to maintain hard copy radiologist, physicist and technology credentials books and hard copy of mammography quality assurance records.

    · Experience with Microsoft Office programs (i.e., PowerPoint, Excel, Word) and knowledge of various microcomputer equipment with the ability to input, retrieve and format data.

    · Physical Requirements: Must be able to carry 25-50 pounds and reach high shelving units with the assistance of step ladders, as needed, to retrieve and file records.

    · Experience record keeping by maintaining hard copy radiologist, physicist and technology credentials books and hard copy of mammography quality assurance records.

    Must possess the ability to research operational activities requiring coordination with multiple functional organizations within the Air Force as well as other civilian and federal agencies.
