    Job Details Job Title Office Assistant IV (Internal City of Charlotte Staff Only) Job ID 501420 Location City of Charlotte Full/Part Time Full-Time Regular/Temporary Regular Close Date 10/02/2018 ------------ CoC Job Details Summary: This position is based in Engineering and Property Managements Landscape Management Division, and serves as the lead customer service contact for the division. This is moderately difficult customer service and related clerical work. Work involves receiving, prioritizing, and transmitting service requests to the appropriate field personnel. Duties include greeting visitors; answering telephones; taking messages and relaying those messages; dispatching crews and equipment; extensive data entry and some clerical work. Major Duties and Responsibilities: 1. Receive service requests by telephone, fax, or electronically from the general public or city employees; transmits requests to field crews; records information in the CityWorks and Emerald Customer Service Systems. 2. Receive, greet, and assist visitors to the office. Accept deliveries and sort mail. 3. Maintain office supplies inventory, reorder and maintain supply cabinets. 4. Assist with maintaining office equipment such as fax, copier, and printer, etc. as needed. 5. Create Access Cards for facility with OnGuard software 6. Serve as payroll and administrative backup relief for Administrative Officer by entering information into PeopleSoft. 7. Assist with researching City rights of way measurements using Polaris/Virtual Charlotte. 8. Serve as secretary by taking minutes of the Charlotte Tree Advisory Committee meetings. 9. Work with 311 to maintain key words. 10. Performs related duties as required. Minimum Qualifications: Requires high school graduation or equivalent with three years general office experience OR Associates degree and one year work experience. Experience: * Prefer three years general office experience with emphasis on customer service/telecommunications working with public and in a landscape management area. * Considerable experience in varied office work. Experience in providing human resources support, including payroll, preferred. Knowledge, Skills and Abilities: * Knowledge, or the ability to acquire knowledge within a reasonable period of time, of the operations of the department or division. * Knowledge of Microsoft Suite, and familiarity with other City systems such as CityWorks, Emerald, PeopleSoft and Munis. * Must be able to perform multiple tasks and prioritize requests. * Ability to make minor decisions in accordance with departmental policies, general instructions, and assignments. * Ability to speak clearly and concisely. * Ability to take telephone messages and relay them rapidly and accurately. * Ability to compose effective and accurate correspondence and data entry; complete necessary paperwork in an accurate maner. * Ability to deal with the public tactfully and courteously, particularly in trying situations * Ability to work independently.
