    of Cultural Affairs and Special Events (DCASE)** _ _ JOB****_ ANNOUNCEMENT_ ** ** Number of Openings: 3 ** ** ** The Department of Cultural Affairs and Special Events (DCASE) is dedicated to enriching Chicagos artistic vitality and cultural vibrancy. This includes fostering the development of Chicagos non-profit arts sector, independent working artists, and for-profit arts businesses; providing a framework to guide the Citys future cultural and economic growth; marketing the Citys cultural assets to a worldwide audience; and presenting high-quality, free and affordable cultural programs for residents and visitors. ** ** This position will report to one of three Directors within the Marketing Division (Program Director-Communications, Program Director-Visitor Experience or Creative Director) performing various program support and administrative duties related to Communications (1), Visitor Experience (1) and Graphic Design (1). Internships are limited to one, 12 month, academic year. Students are limited to working one internship (lasting no more than one twelve month academic year) per City Department. ** ** ESSENTIAL DUTIES __ General: * Assist with scheduling and coordinating meetings and other programs * Assist in developing and/or maintaining calendars, status reports, and other administrative tools * Assist with research of professional best practices, trends, etc. * Attend internal and external meetings and be able to share what was discussed * Perform additional functions to support other DCASE festivals, programs, and events, including assist on-site at events, and routine clerical and administrative duties involving copying, scanning, document preparation, filing, correspondence, answering the telephone, mass mailings, creating and maintaining tracking spreadsheets/databases, event set up and coordination * Perform related duties as required Communications: * Assist with media relations at festivals, events and exhibitions in the busy summer season and throughout the year * Provide general information regarding programs and services to the public * Use Microsoft Office software to draft press releases and media advisories, prepare presentations, create spreadsheets, and prepare publicity reports * Use public relations software to send press releases and media advisories, maintain databases, track and measure results * Assist with social media, web and email marketing, advertising, distribution of printed materials, and other duties Visitor Experience: * Assist with guest engagement at festivals, events and exhibitions in the busy summer season and throughout the year * Provide general information regarding programs and services to the public * Use Microsoft Office software to type documents, prepare presentations, create spreadsheets, and prepare wrap-up reports * Use volunteer management software to schedule volunteers, maintain contact information, and run reports * Assist with market research (on-site surveys), way finding and signage, education and engagement activities, volunteer program activities, and other duties Graphic Design: * Assist in the graphic design of marketing and advertising for City of Chicago festivals, events, exhibitions and cultural venues including Millennium Park, Chicago Cultural Center and Taste of Chicago * Use Adobe Creative Suite PC-based applications (Illustrator, InDesign and Photoshop), working creatively within project parameters (deadlines, specifications, and brand guidelines) to design marketing collateral, advertising, social media assets, onsite signage and more * Prepare design files for print/release; coordinate with City of Chicago print shop and contracted outside print vendors * Coordinate with DCASE staff to traffic/track graphic design jobs, using Basecamp, Microsoft Office applications and other project management tools * Perform various administrative duties assigned by the design staff, including laminating, trimming, and print collateral pickup or distribution LOCATION: Department of Cultural Affairs and Special Events (DCASE) ** ** Marketing Division ** ** 78 E Washington Street, Chicago, IL 60602 ** ** These are temporary positions. Year-long (Spring/Summer 2018 - Spring 2019) internship. Work 20-30 plus hours per week during the summer/breaks and 10 hours per week during the academic year. Work a flexible work schedule. Able to work early mornings, weekdays, evenings, weekends, and holidays during festivals and special events. Position is assigned both indoors and outdoors. ** ** THIS IS A TEMPORARY POSITION ** _Education, Training, and Experience _ __ Must be a student in good academic standing currently enrolled in an accredited college, university, or law school OR a student in good academic standing currently enrolled in an accredited business or data processing/ information technology school. Must have a minimum cumulative grade point average of 2.5 on a 4.0 grading scale or a 3.5 on a 5.0 grading scale. Students must maintain the required GPA throughout the duration of their employment / internship Must be enrolled in school with a minimum of 6 credit hours (or quarter hour equivalency) throughout the duration of internship, with the exception of academic breaks, i.e. summer Must have knowledge of Microsoft Office Applications Word, Excel and Power Point Disclaimer Accredited means any nationally or regionally accredited college, university, or law school where the applicant is enrolled in or has completed an Associates, Bachelors, Masters, or Juris Doctorate degree program. The interviewed candidate(s) possessing the qualifications best suited to fulfill the responsibilities of the position will be selected. **** PREFERENCE will be given to candidates possessing the following: * Students majoring in: Advertising, Arts Administration, Communications, Graphic Design/Visual Communications, Liberal Arts, Marketing, Public Relations, Tourism/Hospitality, Event Planning or Museum Studies * Current College grade level Sophomore or higher * GPA at least a 3.0 to 4.0 on a 4.0 scale; OR a 4.0 to a 5.0 on a 5.0 scale * Ability to work year round, Spring/Summer 2018 Spring 2019 * Proficiency with Microsoft Office, Word, Excel, PowerPoint, Outlook, Internet, and using Social Media * Proficiency with PC-based graphic design software and products, such as Adobe Creative Suite applications (Adobe CS6, In Design, Illustrator, Photoshop, Fireworks, or Acrobat) * Excellent communication skills * Experience with promotional campaigning Good knowledge of general office procedures. Basic knowledge of the marketing tourism/hospitality industry. Ability to be a self-starter, organized, reliable, work well with others, follow directions, project a professional image with a positive attitude, pay close attention to detail, and punctual. Ability to work with high level executives and officials.
