    Job Description

    Under general supervision, the 1630 Account Clerk for the Finance department performs routine bookkeeping and financial record keeping operations within complex accounting systems. This is the entry-level position in the Account Clerk series.

    ESSENTIAL DUTIES AND FUNCTIONS

    According to Civil Service Commission Rule 109, the duties specified below are representative of the range of duties assigned to this job class and are not intended to be an inclusive list; may include additional duties as assigned.

    1.    Processes JobsNow wage subsidy payments and expense reimbursements utilizing the F$P automated financial system.

    2.    Verifies a variety of documents including expense reports and invoices for completeness and accuracy.   

    3.    Maintains, files, and retrieves payment documents and records in accordance with established procedures; performs data entry into MS- EXCEL spreadsheet including posting invoice#, voucher#, and payment amount.

    4.    Assists in copying, scanning, faxing of documents, and typing letters.

    5.    Performs daily mail pick-up and delivery between various accounting offices, distribution sites, and Controller’s office. 

    6.    Provides clerical and accounting support to the Family and Children's Services (FCS) special payment unit and other fiscal units as needed.

  • Qualifications

    Qualifications

    Experience: Six (6) months (equivalent to 1,000 hours) of verifiable experience processing financial and accounting matters (e.g. cost records, deposits, expenditures, allocations), bookkeeping, and/or financial record keeping. Such experience typically includes verifying correctness of financial documents; maintaining expenditure records and reconciling subsidiary accounts.

    SUBSTITUTION:  Fifteen (15) semester units (or equivalent quarter units) of coursework from an accredited college or university with a minimum of 6 semester units (or equivalent quarter units) in accounting may be substituted for the required experience as described above.

    DESIRABLE QUALIFICATIONS

    The stated desirable qualifications may be considered at the end of the selection process when candidates are referred for hiring. 

    · Knowledge of Peoplesoft - People and Pay (San Francisco Operating System), Accounts Payable Module

    · One (1) year experience with Microsoft excel

    SELECTION PROCEDURES:

    ·   The selection process will include evaluation of applications in relation to minimum requirements and assessment of candidates’ job-related knowledge, skills and abilities in an oral interview, which may include a written or performance exercise.

    ·   Depending on the number of applicants, the Department may establish and implement additional screening mechanisms to comparatively evaluate qualifications of candidates. If this becomes necessary, only those applicants whose qualifications most closely meet the needs of the Department will be invited to continue in the selection process. Applicants meeting the minimum requirements are not guaranteed advancement in the selection process.
