    Job Description

    In preparation for the November 8, 2022, Consolidated General Election, the Department is seeking applications for seasonal positions to assist with ensuring proper maintenance and delivery of voter data, services, and programs. The Department continuously works toward establishing effective methods for validation of voter data as well as robust programs that provide mechanisms to notify voters about deficiencies in their registration records or issues with their ballots, and remedial steps.

    POSITION SCHEDULE AND HOURS:

     The estimated start date for this seasonal position will be during the week of October 3, 2022, and may run until several weeks after Election Day, November 8, 2022; the exact end date will be determined by the operational needs of the Department in the post-election cycle.

    Work hours are generally between 8 a.m. to 5 p.m., Monday through Friday. However, work hours will vary widely in accordance with the demands of the election cycle and will range between 30 and 70 hours per week. The person in this position must be available to work overtime both during the week and on weekends as necessary. Overtime hours will be paid at 1.5 times the hourly rate.

    This is a temporary exempt as-needed position. Temporary exempt as-needed employees who have worked more than 1040 hours in any consecutive 12 month period, and whose normal work week at the time of inclusion in the system is not less than 20 hours are eligible for health coverage and retirement benefits.     POSITION SALARY: $28.225/HOUR

    POSITION DESCRIPTION:

    The ideal candidate has a strong work ethic, high level of integrity, strong attention to detail, and demonstrated abilities to learn new subject matter. This position requires the capacity to work on several tasks simultaneously, the vigilance necessary to protect the accuracy and confidentiality of voter records, and strong work ethic conducive to maintaining strict standards of voter data maintenance.

    The Voter Data Coordinator will work toward supporting the Department’s goal to ensure proper maintenance and delivery of voter data, services, and programs.

    Working under the supervision of the Voter Data Analysis and Programs Manager, the person in this position will perform various tasks that enhance the quality or improve maintenance of voter registration data and services.

    The typical duties and responsibilities include but are not limited to the following:

    1. Inputting information submitted by voters to the county’s voter database, Election Information Management System (EIMS)
    2. Processing online voter registration applications
    3. Reviewing messages in California’s statewide voter database, VoteCal
    4. Conducting signature review on vote-by-mail and provisional ballots
    5. Performing validation tasks that ensure the voter role is accurate and up-to-date
    6. Assisting with outreach to voters whose ballot or registration requires corrective action
    7. Analyzing and troubleshooting complex registration situations
    8. Assisting with the facilitation of voting programs and services
    9. Providing general clerical support
    10. Assisting with other election-related functions, as needed

    This position requires sitting and standing for prolonged periods of time, multitasking between phone and computer, and lifting and moving up to 25 pounds.

    MINIMUM QUALIFICATIONS:

    EXPERIENCE: 

    One (1) year of clerical experience including preparing and maintaining a variety of records and/or documents, filing, use of office equipment, public contact and processing of incoming and outgoing mail.

    SUBSTITUTION:

    Any one of the following may substitute for six (6) months of the required experience:

    1.       Completion of a clerical training program (240 hours); OR

    2.       15 semester units (or equivalent quarter units) of coursework from an accredited college or university; OR

    3.       Completion of an approved City and County of San Francisco Clerical Administrative training program.

    One year of full-time employment is equivalent to 2,000 hours (2,000 hours of qualifying work experience is based on a 40 hour work week). Any overtime hours that you work above 40 hours per week are not included in the calculation to determine full-time employment.

    Applicants must meet the minimum qualification requirement by the final filing date unless otherwise noted.

    DESIRED QUALIFICATIONS:

    • Computer skills, including MS Word, MS Excel, internet research, and database knowledge
    • Experience with data entry or data mining
    • Ability to adapt and learn new subject matter and procedures in a short period of time
    • Ability to work quickly and accurately with attention to detail, to complete tasks within tight deadlines
    • Excellent interpersonal skills and ability to work independently and as part of a team in a fast-paced, deadline-driven environment
    • Willingness to follow written and verbal instructions, and work on multiple simultaneous projects
    • Flexibility, tolerance, and stamina for tedious tasks and occasional long hours
