    Job Description

    $75,296.00-$91,572.00 Annually

    As part of this the PST, you will be providing technical, administrative, and clerical support to members of the team as they develop and administer selection processes. You will also have regular individual work supporting data maintenance, proctor pool oversight, assessor recruitment, exam scheduling, exam score processing and reporting, and other ongoing administrative activities. You may also be required to perform various technical and clerical duties related to selection activities in the areas of recruiting PST staff, selecting proctors, reviewing certification lists, training proctors, communicating with Public Safety Department contacts, tracking employee and management training, learning and supporting applicant tracking systems and other computer systems, and special projects to support PST initiatives.

    ESSENTIAL FUNCTIONS INCLUDE: assisting in organizing, compiling, and reproducing a variety of documents, selection materials, and data related to selection instrument development and administration; coordinating and processing exam scores, and records per Civil Service and other applicable rules and procedures; serving as liaison and contact source to provide and receive information from proctors, assessors, vendors, Public Safety Departments, and internal staff; reviewing reports, correspondence, and requests to determine status, actions needed, taking actions within the purview of the role, routing correspondence and requests to the appropriate recipients for further action, and determining proper processing procedures; creating and maintaining database files of PST activities including selection process files, eligible list and score reports, proctors lists and assignments, exam schedules, exam scores and reports, and other documents and information related to the selection process; and assisting with research projects and reports for the Civil Service Commission, Public Safety Departments, or Human Resources Department Divisions.

    EXPERIENCE: Two (2) years of verifiable experience performing complex technical or clerical duties in a human resources environment; AND ABILITY: to accurately type/keyboard 40 words per minute.

    QUESTIONNAIRE

    Applicants will be sent via email a questionnaire by which to verify their qualifications. The notice will include the deadline for responding to the questionnaire. Both the online application and questionnaire will be reviewed to determine if the applicant meets the minimum qualifications. Failure to submit the questionnaire will result in disqualification from the exam process.

    IN-BASKET EXERCISE (WEIGHT 53%):

    The In-Basket Exercise (IBE) will consist of simulated work tasks expected to be performed on day one of the job by a 1203 Personnel Technician working for the Public Safety Team (PST). The IBE will measure knowledge and ability in areas such as: knowledge of computer software such as MS Word, MS Excel, MS Access, MS Power Point, Visio, etc.; ability to make decisions based on information provided using logic and reason; ability to use correct grammar, syntax, spelling, and punctuation in creating memos, letters, and narrative reports; ability to work effectively and professionally in a fast-paced, high-stress environment; and ability to develop and maintain calendars and schedules.

    ORAL/PERFORMANCE EXERCISE (WEIGHT 47%):  

    The Oral Exam will consist of questions and scenarios faced by a 1203 Personnel Technician on day one of the job with the Public Safety Team (PST). The oral exam will measure abilities such as: making decisions based on information provided using logic and reason; working harmoniously with a diverse group of people; working effectively and professionally in a fast-paced, high-stress environment; managing multiple tasks simultaneously; developing/maintaining calendars and schedules; and imparting information clearly and concisely to small/large groups.

    A pass-point will be established, and only candidates scoring at or above the pass-point will be placed on the eligible list and considered for appointment. The department may conduct additional procedures before making selections from the eligible list.

    ELIGIBLE LIST/SCORE REPORT:

    A confidential eligible list of applicants who have passed the exam process will be created for certification purposes only. An exam score report will be published, so applicants can view the ranks, final scores and number of eligible candidates. Applicant information, including names of applicants on the eligible list, shall not be made public unless required by law. An eligible list shall be made available for public inspection upon request once the eligible list is exhausted or expired and referrals resolved. The eligible list/score report resulting from this exam process is subject to change after adoption (e.g., as a result of appeals), as directed by the Human Resources Director or the Civil Service Commission.

    The duration of the eligible list resulting from this exam process will be 12 months and may be extended with the approval of the Human Resources Director. This list may be borrowed by other departments with 1203 vacancies.

    CERTIFICATION:

    The certification rule for the eligible list resulting from this examination will be Rule of 10 Scores. Additional selection processes may be conducted by the hiring department prior to making final hiring decisions.
