    Job Description

    The Office of the Assessor-Recorder is seeking a dynamic individual to serve as a Confidential Public Affairs Coordinator to the Assessor and our Public Affairs team. The Public Affairs team is committed to connecting diverse communities, particularly those historically underserved and under resourced, to programs that support their economic security and mobility, whether as homeowners or an individual planning for their futures. In fiscal year 2021-2022, the Public Affairs team participated in over 169 events engaging with over 11,000 community members. The position will provide executive administrative support to the Assessor and support the office’s strategy to raise public awareness of the role of the Office of the Assessor-Recorder through engagement and communications activities. The position will work directly with the elected Assessor and the Public Affairs team, and interacts with deputies and managers of the Office, local-state-federal public officials, City and community leaders, and additional stakeholders as needed.

    Expected essential duties for this position may include:

    • Provide professional calendaring and scheduling services to the Assessor. This may include managing recurring meetings, prioritizing events and invitations, coordinating details with event organizers, arranging for related logistics, staffing the Assessor, ensuring all documents and accommodations are in order for conference attendance and managing reimbursement requests, expense authorizations, and other required administrative duties;
    • Maintain Assessor's correspondence (incoming and outgoing) and voicemail. This may include responding to calls from the public and referring questions to appropriate department or city employees and following up, and drafting community support letters, event greetings, and certificates of honor, as needed;
    • Attend community events on behalf of the Assessor, with a focus on immigrant communities; other community engagement support will be determined in coordination with Public Affairs team;
    • Coordinate internal staff events as directed by the Assessor;
    • Provide support for Assessor's event planning logistics, including coordination with facilities and event vendors, as needed;
    • Annually prepare and track Public Affairs budget;
    • Serve as point person for Public Affairs administrative duties, including organizing and maintaining shared administrative files and ordering office supplies;
    • Actively contribute to Public Affairs team to complete tasks, meet goals, and manage projects, including communications, community engagement and policy projects;
    • Communicates and coordinates regularly with inter-departmental and intra-departmental agencies;
    • Receive visitors and callers, provide information as requested, resolve conflicts and refer callers to appropriate city departments and office supervisors, as appropriate;
    • Directly respond to inquiries and requests and refer more nuanced and complex inquiries to Assessor and Public Affairs team for review;
    • Build and strengthen community outreach; ensure historically underserved and under-resourced communities feel connected with our Office and monolingual speakers and English learners have equal access to our Office's services and information. In coordination with Public Affairs team, develop and implement outreach strategy to key constituencies;
    • Identify and cultivate speaking opportunities and event participation for the Assessor in API communities;
    • Support translation, interpretation, and proofreading of translations as needed in coordination with Public Affairs team;
    • Support the development and implementation of the Assessor-Recorder's social media strategy. This may include the development of graphics, taking photos, and content development (talking points, social media posts, presentations) for targeted audiences;
    • Ensure quality control on social media development and messaging, in coordination with Public Affairs team;
    • Support strategic communications to community and media outlets, including monthly op-ed contributions highlighting the office and related City program/policy/benefit updates;
    • Performs related duties as assigned.
  • Qualifications

    Qualifications

    These minimum qualifications establish the education, training, experience, special skills and/or license(s) which are required for employment in the classification. Please note, additional qualifications (i.e., special conditions) may apply to a particular position and will be stated on the job announcement.

    1.      Possession of a Baccalaureate Degree from an accredited college or university with major coursework in public or business administration, accounting, finance, economics, social sciences, education or related fields, or other subject areas closely related to a specific departmental program or function; AND

    2.      Three (3) years full-time equivalent experience performing professional-level management and/or administrative duties in functional areas such as: program/office/operations management, budget development and/or administration, development and administration of contractual agreements and/or grants, or other closely related functional areas;

    SUBSTITUTION: Applicants may substitute up to 2 years of the required education with additional qualifying experience in program/office/operations management, budget development and/or administration, or contract/grant administration. One year (2000 hours) of additional qualifying experience will be considered equivalent to 30 semester units/45 quarter units.

    APPOINTMENT TYPE: Permanent Exempt from Civil Service. This position is excluded by the Charter from the competitive civil service examination process and shall serve at the discretion of the Appointing Officer.

    This position is able to work with a hybrid work schedule.
