    Job Description

    The mission of the Department of Elections (Department) is to provide equitable access to voting and election-related services and to conduct free, fair, and functional elections for the City and County of San Francisco. Serving approximately 500,000 registered voters, the Department operates in an open and transparent manner and invites community members to observe elections processes and to provide feedback, making a concerted effort at all times to inspire public confidence in the integrity of elections in the City.

    The Department invites applications for the 1840 Junior Management Assistant (Temporary Exempt) position in the Publications unit of the Department. The main responsibility of the Publications unit is to produce San Francisco’s official ballots and Voter Information Pamphlets in English, Chinese, Spanish, and Filipino and in various accessible formats; provide support to the Ballot Simplification Committee; and coordinate various translation projects.  Approximately one month before each election, following completion of the official ballot and Voter Information Pamphlet, management and staff of the Publications unit form a public phone bank tasked with responding to voter inquires.

    This position reports to the Publications Manager.

    Work hours are generally 8 a.m. to 5 p.m. However, work hours will vary widely in accordance with the demands of the election cycle and will range between 30 and 70 hours per week. The person in this position must be available to work overtime both during the week and on weekends as necessary. Overtime hours are paid at 1.5 the hourly rate.

    POSITION SALARY: $35.1375 TO 42.7375

    POSITION DESCRIPTION:

    SUMMARY OF KEY FUNCTIONS

    In addition to the range of duties assigned to the 1840 job class, the person in this position will be responsible for the following key functions: 

    VOTER INFORMATION PAMPHLET PRODUCTION: The person in this position will assist with various tasks associated with proofing and production of the Voter Information Pamphlet, including preparing materials for translation, proofing and review by Publications team and coordinating proofing of legal text of each ballot measure. The person in this position will also provide clerical support to the Ballot Simplification Committee as needed.

    BALLOT PRODUCTION: The person in this position will assist with proofing English ballot templates during the ballot production cycle as well as production and proofing of accessible versions of the ballot and facsimile/reference ballots as needed.

    PHONE BANK: The person in this position will assist with organizing the Department’s phone bank, which responds to public inquiries about voting and elections. The phone bank is comprised of seasonal clerks from Publications team as well as additional coordinators hired specifically for this project. The person in this position will also act as an administrator of the SFVoteAbroad email account.

    SERVICES TO VOTERS: The person in this position will help develop innovative practices to meet the needs of San Francisco’s diverse and ever-changing population, to improve access to election information, and to ensure a positive voting experience for all San Franciscans.

    OTHER DUTIES: Performs other related duties as assigned.

  • Qualifications

    Qualifications

    Possession of a baccalaureate degree from an accredited college or university with major coursework in public or business administration, accounting, finance, economics, social sciences, education, or related field, or other areas closely related to specific department program or function.

    Substitution: May substitute up to two (2) years of the required education with additional qualifying experience in program/office/operations management, budget development and/or administration, or contract/grant administration. One year (2000 hours) of additional qualifying experience will be considered equivalent to 30 semester units/45 quarter units.
