  • Responsibilities

    Job Description

    The Payroll Assistant will support the Payroll Unit of the Human Resources team within the Managing Director's Office (MDO) Administrative Services Unit (ASU). This position will be responsible for the timely and accurate processing of payroll records. This position reports to the Payroll Supervisor.

    Essential Functions

    Duties include, but are not limited to:

    • Review and process bi-weekly timesheets and/or timecards for accuracy and completeness.
    • Proof payroll documents and identify and resolve discrepancies
    • Effectively communicate and explain employee payroll and leave information
    • Learn the use of appropriate computer applications and related software pertaining to the processing of a departmental payroll
    • Answer frequently asked questions from employees relative to standard payroll policies
    • Review sick leave documentation and records to determine violations of sick leave policy
    • Assist with bi-weekly timecard audits
    • Run various reports – funeral leave, sick leave, and Assignment Time Information
    • Update payroll spreadsheets
    • Enter Oracle transactions related to supervisor changes
    • Assist with employment verifications
    • Assist with paycheck distribution
    • Assist Payroll Supervisor on a variety of special projects
    • Performs other duties as required

    Competencies, Knowledge, Skills and Abilities

    • Knowledge in Oracle database management system
    • Knowledge in payroll software
    • Ability to prioritize and organize workload, multi-task, adapts quickly to change, and deliver under the pressure of deadlines
    • Ability to manage multiple priorities with frequent interruptions
    • Strong organizational skills and attention to detail
    • Strong analytical and problem-solving skills
    • Flexibility to both work independently and as part of a team
    • Strong working knowledge in Microsoft Office Suite
    • Strong interpersonal skills with the capacity to collaborate across diverse teams and city departments
    • Strong communication and time management skills
    • Typing and data entry skills required
    • The ability to understand and answer questions of the complete employee handbook and Administration Board Rules.

    Work-Life

    Working hours are generally 37.5 hours per week. Our team is currently hybrid with both virtual and in-office days.

  • Qualifications

    Qualifications

    • Associates Degree in Accounting, Finance or equivalent field of study preferred.
    • One (1) – Two (2) years experience working in Payroll required.
    • Two (2) – Three (3) years administrative experience working in an office setting required.
    • Experience working in a large organization or public sector environment preferred.
    • Any equivalent combination of education and experience determined to be acceptable by the Managing Director’s Office, Human Resources.

    Salary Range: $45,000 - $50,000
