Position Summary

The Coordinator of the Office of Constituency Engagement provides essential administrative and logistical support to a team of seven directors who lead commissions & round tables focused on Black Males, HBCUs/Pan-Hellenic, Interfaith, Latinos, Muslim, Women and Youth constituencies. In close collaboration with these directors and a dedicated project manager, the Coordinator ensures the smooth operation of the office, facilitates internal communication, and supports the planning and execution of engagement activities. This role is key to maintaining organizational efficiency and inclusive outreach. The Coordinator reports to the Director of the Office of Constituency Engagement.

Essential Functions

Administrative & Operational Support

• Coordinate scheduling, meeting logistics, and documentation for commission and round table-related activities.
• Maintain organized records, contact lists, calendars, and shared resources for the office.
• Prepare meeting agendas, take minutes, and manage follow-up communications.

Team Collaboration

• Serve as a central point of contact for the seven constituency engagement directors and the project manager.
• Support cross-commission coordination by sharing updates, tracking timelines, and facilitating communication.
• Assist in compiling reports, presentations, and materials for internal and external use.

Event & Engagement Support

• Assist with logistics for public events, forums, and community engagement activities.
• Coordinate with venues, vendors, and partners to support director-led initiatives.
• Ensure materials, signage, and documentation are prepared and available for events.

Required Competencies, Knowledge, Skills, and Abilities

** Knowledge:**

• Community Engagement Practices – Understanding of outreach strategies and civic engagement models.
• Constituency-Specific Issues – Familiarity with the social and cultural concerns of the represented communities.
• Government or Nonprofit Operations – Basic knowledge of public sector or nonprofit organizational structures.

** Skills:**

• Administrative & Organizational Skills – Proficient in managing calendars, coordinating meetings, and handling logistics.
• Written & Verbal Communication – Strong ability to draft clear communications and engage with diverse audiences.
• Digital Literacy – Skilled in Microsoft Office Suite, Google Workspace, and virtual meeting platforms.
• Event Coordination Support – Capable of assisting with planning and logistics for community events.

• Multitasking & Time Management – Able to manage multiple responsibilities efficiently.
• Relationship Building – Builds trust and rapport with internal teams and external partners.

Qualifications

• Bachelor’s degree in public administration, Communications, Social Work, or a related field.
• Minimum 2–3 years of experience in administrative support, community engagement, or public service.
• Demonstrated cultural competency and experience working with diverse populations.
• Ability to work occasional evenings/weekends for community events.

Salary Range: $55,000 - $65,000
