Supervisory Medical Support Assistant - Tampa, FL - Overview Summary The
primary purpose of this position is to provide overall operational and
administrative management support to the Chief, Administrative Medicine
Service - NVCC, the Assistant Chief for NVCC and Nurse Manager,
Responsible for management of the administrative support services for
patient care for the Administrative Medicine Services - NVCC department
at James A. Haley Veterans Hospital which includes performing outreach
activities for veterans and community providers, timely appointing in
the community, follow up and securing medical records and a working
knowledge of the Veterans Choice Program and third party administrator
portal. The JAHVAH is a multi-faceted medical center encompassing acute,
sub-acute, and intermediate inpatient services, a comprehensive
rehabilitation program, and a polytrauma center for traumatic brain
injury patients, a spinal-cord injury program, nursing home and the
largest outpatient care program in the nation. To ensure timely access
to care and/or to provide services not offered at JAHVAH, veterans are
referred to community providers to meet this need. Duties The
Supervisory Medical Support Assistant duties consist of but are not
limited to the following: - Plans and coordinates the orientation and
training of all new employees as required by hospital policy. -
Provides/directs continuous on the job training, cross training, and
required annual training of all employees under his/her supervision.
Facilitates staff education and development. Monitors work flow
activities to ensure performance standards are achieved. - Establishes
and maintains necessary controls for effective resource management. -
Interviews (using PBI) hires, and provides competency assessments and
performance evaluations to all employees under his/her supervision. -
Responsible for daily assignments, quality reviews, personnel reports,
and time card reconciliation. - Communicate information to employees on
a regular basis. - Approves/disapproves/certifies leave according to VA
policy. - Develops leave schedules and contingency plans to assure
adequate coverage at all times. Manages and anticipates over time for
the unit and communicates this information to the Chief, Administrative
Services. - Provides additional, specific instructions for new,
difficult, or unusual assignments including suggested work methods or
advice on source material available. - Identifies development and
training needs of employees. - Develops and keeps up-to-date standard
operating procedures for consistency. - Assists with training on
standard operating procedures to ensure that employees are properly
trained and effective in carrying out their duties. - Resolves informal
complaints or grievances from internal and external customers. -
Consults with human resources on unfamiliar personnel matters. -
Provides feedback to employees on performance and conduct related
issues. - Assures work processes and finished work products are
technically accurate and in compliance with instructions or established
procedures. - Facilitates a safe working environment for employees and
initiates requests for ergonomic evaluations, equipment, etc. -
Investigates and reports on the job injuries, using the Assist program.
- Completes appropriate paperwork associated with workman's comp in a
timely manner. Work Schedule: Typical Tour of Duty (TOD) is
Monday-Friday from 8:00 AM-4:30 PM. May be required to work weekends,
holidays and/or extended/irregular tours of duty as needed. Financial

Qualifications - Basic Requirements: - United States Citizenship:
Non-citizens may only be appointed when it is not possible to recruit
qualified citizens in accordance with VA Policy. - Experience and
Education. Six months experience of clerical, office or other work that
tindicates the ability to acquire the particular knowledge and skills
needed to perform the tduties of the position; or One year above high
school; or Equivalent combination of texperience and education are
qualifying for entry level for which both education and texperience are
acceptable. - English Language Proficiency. MSAs must be proficient in
spoken and written English in taccordance with VA Handbook 5005, part
II, chapter 3, section A, paragraph 3j. Preferred Experience:
Supervisory Medical Support should have experience working within a
medical clinic. He/She should be knowledgeable in clinic scheduling,
consults, electronic wait list, and scanning. Experience with or an
understanding of Veterans Choice Program helpful. Past experience
working as a Lead is preferred. Grade Determinations: GS-08: (a)
Experience. One year of experience equivalent to the next lower grade
level (GS-07). (b) Supervisory MSAs at this level plan and direct
programs within Administrative Medicine, specifically Non VA Care and
have full supervisory responsibility for supervising at least one
subordinate team leader or supervisor. Assignments at this level
include, but are not limited to: assigning and evaluating the work of
subordinate staff; resolving complex problems to ensure patient services
are met; evaluating new products, equipment, and systems in order to
make recommendations for improved operations; identifying educational or
training needs; making final decisions on selections; evaluating
performance, and taking disciplinary action when necessary. The employee
has full administrative and professional responsibility for planning and
directing the MSA's activities. Responsible for extracting and analyzing
data in order to provide reports in support of performance measures to

various individuals and teams while demonstrating effective
communication, both orally and in writing, with people from a variety of

performed in an office setting, with performance of daily rounds
throughout the facility. This may also include frequent visit to
off-site clinics to interact with clinicians in various clinics as well

level of interaction with patients in close proximity to clinic care
