Responsibilities include performing cross functional support duties, receiving and processing legal documents, providing information and assistance to the public, and performing data entry. This classification is distinguished from Deputy Clerk II in that this classification is more experienced, works with more complex information with only general supervision, and may provide lead worker functions. Essential Functions: The following duties are normal for this position. The omission of specific statements of the duties does not exclude them from the classification if the work is similar, related, or a logical assignment for this classification. Other duties may be required and assigned. Provides customer service by phone or in person: responds to inquiries, by telephone and in person, from attorneys and the public regarding court calendars and procedures; reviews and accepts legal documents submitted by the general public in accordance with court procedures and prescribed time frames; and answers inquiries from attorneys, plaintiffs, and defendants regarding schedules of hearings, motions, trials, and other relevant matters. Performs document intake and case initiation at window on the back end: enters data into specialized programs/applications; creates appropriate labels/barcodes; clocks in documents/assigns case numbers; verifies fees and accuracy of information; and creates spreadsheets and reports of activities. Collects and processes fees: processes court payments submitted by the general public in accordance with court procedures; enters payments into computer system and assigns to proper case; and re-posts check into automated system. Generates court documents for Attorney's, Defendant's, Plaintiff's, Garnishee's, and the General Public: disseminates information and legal documents to attorneys and other involved parties: retrieves and returns original legal documents for use in the courtroom; and processes disposed cases for archiving. Checks and reviews incoming and outgoing documents for completeness and accuracy of information and processes documents for filing as required in accordance with court rules. Performs data entry in specialized programs/applications; enters data from court documents into an automated computer system; scans, indexes and records court case information and/or legal documents; audits and reviews data for accuracy; updates case disposition information in docket tracking systems; and maintains accurate records and filing systems. Responds to court orders, deeds, citations, and other relevant documents regarding the court system: files court records in accordance with court procedures and provides assistance in an assigned records room. Performs special duties as requested by assigned judge. Coordinates staff activities with those of other units or divisions. Drafts court orders, subpoenas, and other legal documents for assigned judge's approval and signature: processes specific legal matters or documents as prescribed by established court guidelines: processes new filings, motions, services, responses, traverses, answers, court orders dismissals, releases, checks, payments, and Rule Nisei's; prepares, signs/stamps, and mails out legal documents to all involved parties; and signs documents as Deputy Clerk of the Court as required. Performs a variety of court calendar functions: schedules dates and times for hearings, motions, and trials; communicates instructions regarding paperwork and court appearance/process; records case numbers in court date/time logbook; prepares calendar for publication; and reviews weekly court calendar to ensure accuracy. Closes court-ordered cases. Testifies during court hearings as required.
