After successful completion of the job duties and responsibilities for a twelve-month period, the position may be promoted to the budget level Legal Secretary II, Grade 16 (salary range $41,963 - $68,893). The Office of the County Attorney seeks full-time Legal Secretary to provide administrative and secretarial support to attorneys and paralegals. Examples of duties may include: serves as a liaison between multiple attorneys and client/agency employees, contract attorneys, outside attorneys, court personnel, and witnesses; maintains attorneys' calendars, to include scheduling appointments, establishing priorities of appointments, rescheduling as necessary, and coordinating the scheduling of meetings, conferences, and depositions; screens incoming correspondence for subject matter content and team assignment, and enters information into the Prolaw software work management system; maintains attorney filing systems, to include sorting and filing correspondence, cases and other materials; prioritizes work assignments received from multiple attorneys; prioritizes, prepares, and types a variety of legal documents including complaints, answers, motions, discovery, memoranda of law, letters, orders, and briefs using Microsoft Word software; transcribes dictation involving extensive use of legal terminology using digital transcriber; researches files and records for legal precedents, referenced case law or review of County Code reference; reviews various legal documents to ensure that all relevant materials are attached and conform to pertinent laws, rules, regulations, and office requirements; submits legal documents to various courts in a timely manner, assuring that appropriate filing procedures have been followed and opposing parties are sent their copies; prepares and signs correspondence; updates law books and manuals, County Code, Administrative Procedures, etc.; receives and screens telephone calls pertaining to a variety of legal inquiries, many involving referral and occasionally research; may train and assist new employees with assignments; and conducts routine maintenance of printers and fax machine. Minimum Qualifications Experience: Two (2) years of legal secretarial experience. Education: Graduation from high school or High School Certificate of completion recognized in the State of Maryland. Equivalency: An equivalent of education of experience may be substituted. Preferred Criteria The applications of those individuals meeting the minimum qualifications will be reviewed to determine the extent, relevancy of training, and experience in the following areas: * ProLaw 16.2 case management system or other comparable software. * Civil legal support experience to include litigation, personnel and retirement actions, land use and contracts. * Microsoft Outlook to include scheduling meetings using the calendar feature and sending and responding to e-mails. * Microsoft Word for document creation and correction. * Hard copy filing and electronic filing in federal and state courts. * Transcribing digital dictation. * Drafting simple pleadings.
