The Principal Administrative Aide will provide phone, email, and visitor reception at the MCPL administrative offices. This employee will make sure that visitors receive a positive first impression of the Department of Public Libraries, and will provide related administrative support, supporting the work of the Director's Office and Central Administration. An incumbent in this position will also need to know how to navigate the ActiveNet scheduling system, Sirsi Integrated Library System, and Office 365. This is a highly visible role and requires providing consistent, professional customer service to a diverse community and representing the high caliber of our staff. Work is performed under the general supervision of a higher-level employee and is reviewed for effectiveness. An incumbent is this position will generally work Monday through Friday between 8:30 am and 5:00 pm Duties include, but are not limited to: * Managing the substititute booking process for the department, receiving and fulfilling requests for substitutes for all 21 branches and MCPL's Collection Management unit. * Serving as the department's primary contact for the public, answering the department's main telephone line and acting as the receptionist for the Administrative Offices. * Receiving, logging by subject matter, and tracking all electronic comments and suggestions from customers and ensuring they are responded to in a timely manner. * Serving as the front desk receptionist, the PAA is the first line of security for the Administrative Offices, ensuring that each vistor is escorted to their destination by an Adminstrative staff person. * The PAA is also responsible for receiving packages from walkin vendors and ensuring that the packages are picked up by staff immediately or that they are properly secured. * Downloading and maintaining files for all departmental incident reports and receiving Disruptive Behavior Orders via fax, which are then routed to the director and assistant directors. The PAA also determines if any applicable report is missing and follows up with the respective branches. * Managing the department's bulletin board postings and handouts. This position receives all calls and emails inquiring about handing out and/or posting flyers/brochures in the 21 branches. * Maintaining the systemwide calendar for the department. The position also locates and books meeting rooms for all departmental meetings and training, and then enters the information on the systemwide calendar, updating any changes. * Assisting the Administrative Specialist with the Annual Leave Awards Program in creating a timeline for the annual process; working with the graphic designer to create flyers to publicize the awards to staff via email; preparing award nomination packets for the Recommendation Committee; preparing letters and certificates for the awardees, and scheduling and organizing the award reception. * Playing an essential role in preparing for major events by locating and booking venues; receiving and logging RSVPs; assembling meeting materials/packets; ensuring the event space has the needed equipment; contacting caterers; and performing setup and closeout tasks. Minimum Qualifications Experience : Two (2) years of office support experience in an office environment. Education : Graduation from high school or High School Certificate of completion recognized in the State of Maryland. Equivalency : An equivalent combination of education and work experience may be substituted.
