    Are you the type of person who can spot a crooked ceiling tile from across the room? Do you secretly love a good office supply order? If juggling vendors, coordinating space moves, and making sure the coffee machine and the fire alarm work gives you a sense of joy-then we’ve got just the role for you!

    We’re looking for a proactive, detail-savvy, cool-under-pressure Facilities Maestro to help keep our workplace humming. You’ll be the go-to for everything from office space strategy and vendor wrangling to safety plans and supply closets.

    If you're organized, calm in a storm, and not afraid to get your hands (a little) dirty-step right up.

    This is an onsite role

    Essential Duties and Responsibilities:

    - Oversee Facility Management vendor and facilitate contract compliance with Contracts Team to include Vendor agreements by ensuring invoices and deliverables are submitted timely and accurately.

    - Monitor Facility Management vendor performance and report/escalate facility issues to management and Contracts Team, as appropriate.

    - Process special accommodation requests through established processes.

    - Review and approve special orders for office supplies.

    - Serve as the main point of contact between the Facility Management Vendor and client or other Maximus business owners for any facility-related items.

    - Provide expertise and define facilities management requirements to meet all company goals and needs.

    - Manage and execute all moves and space plans.

    - Responsible for the generation and accuracy of the monthly Facilities Report.

    - Participate in all planning and budgeting associated with facility needs.

    - Work closely with Facility Management Vendor to assess and monitor facility repairs to ensure cost effectiveness and obtain proper approvals from the client.

    - Ensure and oversee the appropriate response to all emergencies and crisis situations to ensure compliance as outlined in the Disaster Recovery Plan.

    - Manage and facilitate the Safety Committee on a monthly basis.

    - Serve as an initial point of contact for matters pertaining to physical security.

    - Develop and maintain an Employee Physical Security Awareness Program and coordinate with Training for security and privacy training needs.

    - Assist with reviewing Facility Vendor budgets in consultation with Finance and Management.

    - Participate with the Security Management Plan, Disaster Recovery Plan, and other plans as required by contract.

    - Work with Corporate Real Estate staff as needed.

    - On call 24/7 to address the aforementioned items.

    - Perform other duties as may be assigned by management in a fast-paced, deadline-oriented work environment.

    - Daily use of Microsoft Office Products (Word, Excel, etc.).

    - Must be willing to travel as needed.

    Additional Duties and Responsibilities:

    - Maintain tidy and organized workspace and facility storage areas.

    - Work with US Mail, FedEx, UPS - mail room management.

    - Work to identify and eliminate inefficiencies.

    - Maintain security badge access needs for guests and employees.

    - Monitor facility cleanliness.

    - Adapt to unexpected change, requests and interactions.

    - Proactively seek opportunities for improvement of existing processes and efficiency creation.

    - Learn Facilities Management system and address facilities work order tasks. Find solutions whether through resolving independently or finding vendors and other means to address issues.

    - Some periodic short-distance travel to area sites to address facility management tasks and work orders as needed.

    - Support the facilities team members to fill-in and be their back-up when needed.

    - Maintain office supplies as well as café and related machine supplies. Manage related vendors.

    Minimum Requirements

    - Bachelor's degree in relevant field of study and 3+ years of relevant professional experience required, or equivalent combination of education and experience.

    - Knowledge of accounting principles preferred.

    - Facility Management Professional (FMP) certification preferred.

    Additional Requirements:

    - Ability to work with budgeting and forecasting expense data for multiple sites.

    - Ability to work on ad-hoc assignments associated with special projects for site buildouts, decommissions, and renovations, etc.

    - Ability to monitor and execute facility work tickets in tracking systems.

    - Ability to think strategically, troubleshoot, and develop creative solutions to a variety of physical facility issues and manage supplies inventories.

    - Ability to demonstrate strong written and verbal communication skills with cross-organizational contacts - you will have interactions with a wide range of people.

    - Proficiency in the use of Microsoft Office products required.

    - Must have the ability to follow-through with detailed tasks to completion.

    - Must have the ability to multi-task many processes and tasks at the same time, with a sound memory.

    - Must possess strong organizational and planning skills.

    - This role is a flexible position that sometimes requires flexible work hours and requires coverage for other team members as needed. Infrequent off-hours may be required for preventative maintenance.

    Physical Requirements:

    - The person in this role will be regularly required to sit for extended periods of time - up to 75% of time at computer screen; required to walk throughout the facility to address various needs, use office equipment such as PC, copier, telephone, cell phone, as well perform walk-through inspections of the multi-floor facility, as well as travel to other sites, etc.

    - Must have the ability to lift up to 50 pounds.

    Maximus compensation is based on various factors including but not limited to job location, a candidate's education, training, experience, expected quality and quantity of work, required travel (if any), external market and internal value analysis including seniority and merit systems, as well as internal pay alignment. Annual salary is just one component of Maximus's total compensation package. Other rewards may include short- and long-term incentives as well as program-specific awards. Additionally, Maximus provides a variety of benefits to employees, including health insurance coverage, life and disability insurance, a retirement savings plan, paid holidays and paid time off. Compensation ranges may differ based on contract value but will be commensurate with job duties and relevant work experience. An applicant's salary history will not be used in determining compensation. Maximus will comply with regulatory minimum wage rates and exempt salary thresholds in all instances.
