Program Operations Coordinator Road Scholar Educational Travel - Boston,
MA Job Title: Operations Coordinator Status: Non-Exempt Locations Boston
. This is what we're looking for: The Coordinator supports members of
the Afloat Programs team. Key responsibilities include monitoring of
program submissions, regular inventory management, daily program
maintenance, catalog reviews and post program quality analysis. *
Support multiple operations Managers on a variety of programs and
program types. * Work with the program team and to ensure that program
materials are completed accurately and on time, all procedures for
managing program capacity are followed, and complete information has
been submitted * Review new program date submissions and communicate any
issues * Trouble shoot and problem solve when complication occur prior
to and during program. * Maintain current relationships with speakers,
guides, hotels, restaurants, transportation and education venues *
Review, triage and action program changes via service requests *
Proofread catalogs and brochures for accuracy and make changes when
needed * Actively participate in inventory management to maximize
enrollments and minimize program cancellations * Create, maintain and
assist in the analysis of reports including inventory and program
quality * Other projects and responsibilities as determined by Director
- Will be required to attend and work on certain programs related to the
position * Will be required to travel onboard cruise ships, may
experience longer than usual work days while traveling. * Physical
ability to lift 25lb. * Assist with booking of vendors, including prices
for goods, services and venues or assisting with negotiation of
contracts for these items dependent on experience. * Develop
comprehensive knowledge of program content and destinations * Serve on
Emergency Cell phone rotation as part of the regular department rotation
dependent on experience. * Assist with proofreading of catalogs and
brochures for accuracy * Occasional travel and assisting on programs may
be required. And these are the skills we are looking for: * Bachelors
Degree preferred * 2 years of experience in travel-related field *
Budget monitoring experience * Working knowledge of Microsoft Excel
required experience with pivot tables a plus * Must be pro-active,
persistent and results-oriented * Must have experience working in a
fast-paced business environment * Excellent customer service skills
required * Superior interpersonal and problem solving skills a must *
Exceptional analytical skills and high attention to detail is essential
- Must have excellent oral and written communications * Ability to work
collaboratively in a multi-functional team environment * Love of travel
