We are seeking an extra help, part-time (0.5FTE) Program Coordinator for Volunteer and Patient Relations, who is a well-organized, energetic and outgoing person to recruit, schedule, and coordinate volunteer activities that support the various care settings within San Mateo Medical Center hospital and clinics. In this role, you will use your strong communication skills to promote volunteer opportunities in order to maintain and grow engagement in the Volunteer Program to support San Mateo Medical Center operational efforts. The Volunteer Program Coordinator will collaborate with SMMC Management in the office and in a variety of outdoor settings. You will use new data management systems, analyze data, organize and implement volunteer events, and explore creative ways to connect community members with the resources and service opportunities offered. The ideal candidate will have experience: Recruiting volunteers Public speaking Program or project coordination Event Planning and Support Creating digital content Document Management NOTE: This is an extra-help, at-will assignment, paid on an hourly basis. Some extra help positions are eligible for benefits under the Affordable Care Act. Extra help employees are not guaranteed permanent status at the end of the assignment. Examples Of Duties Duties may include, but are not limited to, the following: Volunteer Recruitment & Retention Source and recruit volunteers through various techniques (databases, e-mail, social media outreach, flyers, etc.). Implement on-line management system to support volunteer recruitment, assignment, participation, and program data collection and reporting. Promote volunteer opportunities on digital media and through written communications for upcoming events and volunteer opportunities. Work to recruit adequate volunteer participants for events. Develop an effective communication process that ensures registered volunteers are adequately informed of event details and prepared to participate. Coordinate and staff community outreach events to recruit volunteers and educate public on volunteer opportunities within the Patient Experience Department. Patient and Family Advisory Council (PFAC) Manage recruitment and retention of Patient and Family Advisory Council members (Improvement Partners). Assist with coordination of Improvement Partners to ensure participation in Improvement Events and/or other community engagements. Responsible for coordination of monthly meetings with Improvement Partners and PFAC staff. Implement set up and break down of volunteer events. Debrief after each event and identify follow-up tasks to be completed before next event. Periodically survey volunteers and conduct review of events with Patient Experience Team to assess effectiveness of program. Group Volunteer Scheduling Respond to requests for group volunteer service projects from corporate, school, and social service organizations. Collaborate with Patient Experience Manager to plan yearly calendar of group volunteer events. Assist Patient Experience team in preparation for service projects and on day of service event. Debrief after each event and identify follow-up tasks to be completed before next event. Periodically survey volunteer groups and conduct review of events to assess effectiveness of program. Administration Coordinate, plan, develop, and track volunteer activities using the Department's volunteer management system. Consistently strive to identify areas for program improvement - efficiency, satisfaction, and overall program performance in order to achieve goals. Keep detailed records of volunteers' information, event statistics, and other program metrics. Collect and analyze data to develop a profile on specific programs and prepare reports. Represent volunteer program to which assigned and maintain relationships with various service providers, community organizations, and other groups as it relates to job duties. Provide program information to individuals and groups and meet with and make presentations to the community. Communicate frequently with volunteers to ensure they are satisfied and well-placed. Qualifications Knowledge of: Principles and practices of program area/option to which assigned. Principles and practices of effective customer/client relations. Principles and practices of working with and managing volunteers, if assigned to volunteer coordination. Technical procedures and requirements of program area/option to which assigned. Applicable federal, state and local laws, rules and regulations and County and program policies and guidelines governing program area/option to which assigned. Principles, practices and techniques of administrative and programmatic research and analysis. Computer applications related to the work. Office administrative practices and procedures, including records management and the operation of standard office equipment. Funding sources, grants and fund raising techniques. Skill/Ability to: Analyze, interpret and apply various regulations and requirements. Plan, coordinate and implement administrative and programmatic research and analysis. Train staff in work procedures and provide technical and programmatic assistance to staff and subcontractors. Establish and maintain effective working relationships with grantors, subcontractors, County staff, elected and appointed officials, the public and others. Communicate effectively, both orally and in writing. Compile, analyze and interpret data using research techniques; draw sound conclusions and prepare and present effective reports regarding findings and recommendations. Exercise sound independent judgment within general policy and regulatory guidelines. Prepare clear and accurate reports, correspondence, procedures and other written materials. Organize and prioritize work and meet critical deadlines. Maintain accurate records and files. Interact with a wide variety of people. Make public presentations and prepare articles for publication such as press releases and articles related to events of assigned program. Prepare narrative and statistical reports. Education and Experience: Any combination of education and experience that would likely provide the required knowledge, skills and abilities is qualifying. A typical way to qualify is: Program Coordinator I: Bachelor's degree in public or business administration, management or a related field and two years of professional level analytical and administrative experience in a community-related setting.
