Provides paraprofessional, technical and fiscal support for Vocational Rehabilitation (VR) Counselors and other professional VR staff. This position supports the VR Counselor by completing case management/coordination tasks to ensure timely processing of VR cases and quality of service delivery. This position includes significant travel to Allen, Whitley, Noble, DeKalb, LaGrange, and Steuben Counties. It is based out of the Vocational Rehabilitation Services Office at 201 E. Rudisill Blvd. in Fort Wayne, IN 46806. Responsibilities: * Supports the VR eligibility determination process through acquisition of consumer records from medical facilities, psychologists, schools, employers, other state agencies, etc. * Provides VR Orientation for program applicants (group setting or one-on-one); includes educating clients about the purpose of VR and providing an overview of VR services including, application and eligibility requirements, services available, consumer responsibilities, client rights and responsibilities, and related. * Provides paraprofessional support throughout the entire VR service process, from referral, application and eligibility, through service provision and case closure by preparing and processing authorizations for purchase of client goods and services, making administrative arrangements for a wide range of services; processing appropriate paperwork; sharing collateral information with partnering agencies; following up on receipt of diagnostic information, progress reports, and related; obtaining quotes for services; and other case management supports. * Supports VR Counselor through identification and coordination of comparable benefits. * Performs a variety of fiscal functions including: fiscal rectification and problem solving to address errors with invoices, vendor fiscal issues, and claim rejection issues; tracking and identifying outstanding fiscal issues such as overdue claims and recommends rectification strategy to VR Counselor; and development of authorizations and claims for VR Counselor review and approval. * Coordinates the determination of unmet need for post-secondary service costs including identifying actual costs of attendance, reviewing resources available, exploring alternate post-secondary programs that may best meet the consumers need, and related. * Conducts research to support the VR Counselor in making determinations regarding appropriate vocational goals and necessary services. * Ensures a case record is established for each referral and referral is contacted and scheduled for orientation and/or intake in accordance with established timelines.

    • Completes a wide range of tasks in a specialized case management system, including fiscal tasks, case notes and other data entry, completion of various forms, developing written communication for consumers or vendors, completing status movements for consumers as they progress through their case, preparing cases for closure, competing intake information, etc. * Makes recommendations to VR Counselors regarding treatment, training, and other service needs for VR clients. * Interacts regularly with VR consumers to answer questions, request information, or follow up on other case management tasks under the direction of the VR Counselor or Supervisor. * Runs and reviews various reports to assist with timely processing of all aspects of case management and fiscal monitoring, identifying recommended actions to be taken to resolve outstanding issues. * Researches new vendors to meet specific service provision needs, explains payment process to vendors, and obtains necessary information to add vendors to the system. * Supports the coordination of services with Bureau of Developmental Disabilities Services (BDDS) and other state agencies for mutual consumers. * Assists in developing and maintaining effective relationships with referral sources. * Assists VR Counselors and Supervisor to prepare for consumer appeals. * May participate in community activities to educate the public about VR, attend transition and/or IEP meetings, serve on committees and workgroups, or other related case coordination tasks as required. * Assists with training new VR Case Coordinators as needed; may include new VR Case Coordinators in other VR offices. * Some travel may be required. Preferred Experience: Two years of college coursework plus one year of experience providing direct client services in a social services setting is desired. Job Requirements: * Highly adept in using a specialized client services database; proficient in Microsoft; excellent computer skills. * Ability to develop and maintain effective working relationships with clients, other VR staff, providers and vendors, and members of the public. * Ability to understand and apply written policy. * Excellent oral and written communication skills. * Excellent customer services skills. * Excellent organization, record keeping, report preparation, and other case/file management skills. * Experience in working with individuals with disabilities preferred. * Knowledge of local resources preferred.
