Work requires contact with private entities. Employees at this level perform work independently on assignments; however, all unusual issues are referred to the supervisor. -Duties -The essential duties for this job include: -Answers the telephone, evaluates requests, answers questions and routes messages. -Assists in processing payroll and verifying accuracy of hours to be paid. -Conducts monthly spot inventories, verifies inventory findings, reconciles and coordinates with District Accounting Office on adjustments needed. -Keeps equipment mileage and service records. -Maintains and updates office files/records/logs and a wide variety of automated systems in support of personnel, finance, budgeting, maintenance, inventory, contracts, purchasing, and travel information. -Maintains radio contact with field units; as required responds to assist with emergency situations/conditions and monitors office radios/phones. -Prepares, assembles, reviews and verifies various documents and forms. -Provides administrative support and maintains a close and highly responsive relationship to the day-to-day activities of supervisors and staff. -Receives, sorts, opens, evaluates content and distributes mail. -Reviews, prepares and negotiates applicable program purchases for services, office materials, supplies, tools or equipment and monitors service agreements. -Schedules meetings, appointments and makes travel arrangements. -Performs other job responsibilities as assigned. -Competencies -The required competencies for this job include: -Inventory/stock control procedures -Applicable industry safety standards, guidelines and specification codes -Budgeting methods and procedure -Compensation, payroll and timekeeping -Purchasing methods and procedures -Planning, directing, coordinating and scheduling -Maintaining effective working relationships with others -The responsibilities associated with administrative practices and procedures to include writing, editing and report writing techniques, recording meeting notes, record keeping and records management -Preparing and maintaining records, files and reports -The use of personal computers and applicable programs, applications and systems -Education -This job requires the following: -High School Grad or Equivalent in general high school studies -Work Experience -This job requires the following: -3 years in clerical, secretarial, administrative or warehousing and automated property accounting support experience. *College education and /or relevant technical training may be substituted for experience on year per year basis. (Experience can be satisfied by full-time or prorated part-time equivalent) -Licenses and Certifications -The following Certification/License is required for this job: -Safety Impact Certificate -Valid Driver License Safety Impact Certification is not required at the time of application. As required, the Safety Impact Certification will be issued by TxDOT at the time of hire. Other Condition: Safety Impact positions will be subject to random drug testing. *Driving required for this position -Conditions of Employment -Must pass a drug test prior to employment for safety sensitive positions. Safety sensitive employees will be subject to additional drug and alcohol testing during employment. -Required to work weekends and holidays. -Required to drive for TxDOT. -Required to work hours other than 8 to 5. -Required to work under exposure to inclement weather conditions. -Required to wear personal protective equipment provided by employer and comply with all safety requirements. -Driver's record check will be conducted by the Department.
