CT 06492 Part-time TITLE: Office Clerk STATUS: Nonexempt SCHEDULE:
Part-Time, Monday Thursday 8AM-4PM REPORTS TO: Director POSITION
SUMMARY: This position supports the many functions in an office setting
and requires the incumbent to be able to work independently and problem
solve. This is a support position that reports to the Director and
performs routine administrative and clerical tasks related to general
office work. This position does not supervise any other staff.
DESCRIPTION OF DUTIES & RESPONSIBILITIES: The following represents the
primary and secondary duties of the position; however they are not
intended to be all inclusive. The WHA reserves the right to change,
reassign, or combine job duties at any time and at its discretion. *
Answer the phones. * Generate Work orders * Data entry duties as well as
the ability to use the Microsoft Office suite of tools. * Ensure
knowledge of staff movements in and out of organization * Provide
general administrative and clerical support * Prepare correspondence and
documents * Receive and sort mail and deliveries * Schedule
appointments; Maintain appointment diary electronically * Organize
conference and meeting room bookings * Make travel arrangements for
office personnel * Interprets routine administrative policies and
decisions as necessary; provides information to the public with regard
to these polices * Assist the Housing Manager with the WHA waiting list
- Assist the Housing Manager with rent collection, processing and
monitoring of WHAs accounts receivables. * Assist the Facilities Manager
in requesting quotations, ordering supplies, creating and maintaining
filing systems and other tasks as requested. * Assist on Special
Projects * All other duties as assigned. PERFORMANCE STANDARDS: This
position will be evaluated on the ability of the incumbent to work with
limited supervision, identify and report problems with verification
information, ability to produce simple correspondence and produce work
free from errors. Individuals in this position must be able to present
themselves in a professional manner. WORKING CONDITIONS: Physical:
Majority of the duties are performed in an office environment while
sitting at a desk or standing performing clerical/administrative
functions. Use of a computer system and office equipment is mandatory to
the performance of the job duties. In some cases, duties will require
performing minor physical activity for the maintenance of the agency
master archive file system or distributing agency literature or tenant
notices, which takes place in an inside and outside environment. Mental:
The ability to work accurately and promptly in performing multiple
clerical and administrative functions with frequent interruptions and
little supervision. Employee must be capable of working closely and
cooperatively with the Executive Director, WHA management staff and
co-workers. It is expected the position will require assisting
management on critical projects, requiring independent thinking, with
little supervision and under time constraints. The position also
requires open, active and positive communication with the Executive
Director, management staff, co-workers, clientele, applicants, the
general public and public officials. MANDATORY REQUIREMENTS: Education &
Experience: High School Diploma with a concentration or substantial
course work in basic business sciences and two years of work experience
in the housing field. Experience with work order software systems for
property management preferred. * Knowledge of basic office and filing
systems. * Experience with work order software systems for property
management. * Excellent written communication skills and above average
verbal communication skills. * Ability to handle confidential
information in an appropriate manner. * Bilingualism in Spanish and
English, preferred * Have effective and positive working relationships
with coworkers and other businesses the agency interfaces with. * Strong
organizational and planning skills. * Possess and maintain a Connecticut
State Driver's License and evidence of a good driving record for pre and
continued employment; * Ability to successfully pass a pre-employment
drug screening test and pre-employment criminal background check; *
Keyboarding skills, ability to operate a computer and computer software
programs (MS Word & Excel) along with other general office equipment is
mandatory; * Ability to organize and establish priorities for work with
courteousness, compassion and tactful manner; * Speak effectively to
clientele, landlords, vendors, and general public; * Establish and
maintain effective working relationships with the Executive Director,
co-workers, and tenants; * Ability to maintain clientele, staff and
agency confidentiality is mandatory; * Other responsibilities specified
