    Major Duties

    • Serves as the confidential administrative assistant and administrative advisor, receiving visitors, answering telephones, maintaining calendars, and reminding leadership of pending actions.
    • Acts as the administrative interface with DLA activities, Installation Support Operations, J6, J1, Military Services, the Governor’s Council, and Congressional leaders.
    • Receives, reviews, analyzes, distributes, and screens correspondence and mail; prepares replies, controls suspense items, and maintains chronological and subject matter files.
    • Makes reservations and transportation arrangements; prepares travel documents, coordinates trip binders, and schedules travel in DTS for leadership.
    • Prepares letters, memoranda, reports, publications, and other correspondence by researching regulations, obtaining information, and ensuring proper formatting and grammatical accuracy.
    • Serves as the Standard Operating Procedure Administrative Officer by preparing SOPs, assembling information for policies and procedures, and attending meetings involving sensitive information.
    • Uses word processing, spreadsheets, graphics, databases, SharePoint, Teams, and enterprise websites; manages the Hotline program, tracks training, and provides guidance to administrative staff.

    Qualification Summary

    To qualify for an Administrative Assistant (OA), your resume and supporting documentation must support: A. Specialized Experience: One year of specialized experience that equipped you with the particular competencies to successfully perform the duties of the position and is directly in or related to this position. To qualify at the GS-07 level, applicants must possess one year of specialized experience equivalent to the GS-06 level or equivalent under other pay systems in the Federal service, military, or private sector. Applicants must meet eligibility requirements including time-in-grade (General Schedule (GS) positions only), time-after-competitive appointment, minimum qualifications, and any other regulatory requirements by the cut-off/closing date of the announcement. Creditable specialized experience includes: Providing a variety of clerical, administrative, and office automation duties, including file maintenance, serving as office receptionist answering telephones, receiving and directing visitors or workers, performing timekeeping tasks, and coordinating travel arrangements. Preparing a variety of correspondences for final production, such as letters, memoranda, training forms, visitor notifications, special reports, publications, and Standard Operating Procedures. Using word processing, spreadsheet, graphics, and database applications, as well as SharePoint, Teams, and Enterprise websites to complete administrative and reporting tasks. B. Education: As a general rule, education is not creditable above GS-5 for most positions covered by this standard; however, graduate education may be credited in those few instances where the graduate education is directly related to the work of the position. C. Typing Proficiency Requirement: Must be able to type at least 40 words per minute. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional, philanthropic, religious, spiritual, community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
