    Major Duties

    • Receives telephone calls and visitors and provides information/directs them appropriately.
    • Manages all mail actions: receiving, sorting, routing, determining importance, sending, and preparing/reviewing all outgoing correspondence.
    • Prepares and assembles reports, charts and graphs.
    • Assists and provides guidance to subordinate secretaries and other clerical personnel.
    • Manages all office suspense's and provides deadline reminders.
    • Serves as the organization’s control/order point for office equipment, forms, and supplies.
    • Provides office automation support through a variety of means and with a variety of equipment

    Qualification Summary

    To qualify for a Secretary (Office Automation), your resume and supporting documentation must support:A. Specialized Experience: One year of specialized experience that equipped you with the particular competencies to successfully perform the duties of the position and is directly in or related to this position. To qualify at the GS-06 level, applicants must possess one year of specialized experience equivalent to the GS-05 level or equivalent under other pay systems in the Federal service, military, or private sector. Applicants must meet eligibility requirements including minimum qualifications, and any other regulatory requirements by the cut-off/closing date of the announcement. Creditable specialized experience includes: Receives, sorts, and routes incoming mail and other correspondence and reviews all outgoing mail produced, sent, or routed. Performs office automation work involving automated word processing, database management, electronic spreadsheet, and other software programs. Resolves routine administrative problems involving policies, procedures, and processes. Reviews incoming and outgoing correspondence for grammar, spelling, punctuation, and formatting. B. Education: As a general rule, education is not creditable above GS-5 for most positions covered by this standard; however, graduate education may be credited in those few instances where the graduate education is directly related to the work of the position. C. Typing Proficiency Requirement: Must be able to type at least 40 words per minute.Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional, philanthropic, religious, spiritual, community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional, philanthropic, religious, spiritual, community, student, social).
