Reporting to the Sr. Manager of Payroll, the Payroll Specialist will play an integral role on the payroll team; working through complex issues, transactions, and projects independently as well as collaboratively with cross functional team members. The successful candidate will be able to work and communicate effectively in a team environment interacting with all levels of our organization and external auditors. The Payroll Specialist will evaluate internal SOX controls and processes and make recommendations to ensure a best practices and efficient payroll environment. This position is hands-on and requires attention to detail, timeliness, and customer service.
Duties and Responsibilities:
- Manage the processing of weekly and bi-weekly payroll for 4,000+ exempt and non-exempt employees in multi-state environment using Workday.
- Work with ADP to maintain integration for garnishments and payroll tax.
- Process commissions, bonuses, and special pays on or off pay cycles. Calculate manual checks routinely and/or on demand, such as termination pay.
- Work with HRBPs and managers for payroll recording and time clocks maintenance.
- Manage and maintain payroll email inbox. Provide friendly and efficient customer service to employees who have questions regarding their pay.
- Balance and audit payroll data before and after processing to ensure completeness.
- Assist with research and engage in special projects as needed.
- Work closely with HR and HRIS to ensure accurate data flow to payroll.
- Assist Sr. Manager of Payroll with 401K and Workers’ Compensation audits.
- Enforce company policies and procedures in administering payroll, such as supervisor approvals and SOX compliance.
- Serve as backup for the Sr. Manager of Payroll.
- Other duties as assigned to support the general purpose of the position’s function.
Qualifications:
- Minimum of 3 years of payroll experience (in-house or service bureau).
- Knowledge of commonly used concepts, laws, practices, and procedures within payroll field including federal and state labor and tax laws.
- Understanding of SOX compliance as it relates to HR/Payroll.
- Knowledge of ADP WFN, UltiPro or Workday is highly preferred.
- A process improvement mindset and demonstrated problem solving abilities.
- Demonstrated commitment to accuracy and quality while meeting goals and tight deadlines; superior attention to detail and thorough self-review is a must.
- Ability to prioritize workload and perform multiple tasks under accelerated deadlines.
- Self-directed and able to work well and communicate effectively in a team environment.
- Hands-on and able to work effectively with team members at all levels.
- Experience working with Microsoft Office Suite, including Word, Excel and PowerPoint.
