    Job Description

    The Creative Resource Manager is an integral member of the project delivery team. Their primary day-to-day accountabilities include ensuring effective use and deployment of creative and studio resources; as well as managing new business efforts and assigned project work.

    As this person demonstrates mastery of the broad operational tasks outlined below, and as they lead successful pitch and new business efforts, the role will expand into the more traditional program management focus of the Integrated Production department at Rauxa.

    WHAT YOU'LL DO:

    Creative Resource Management

    • Use established tools (Float or Smartsheets) to track creative team assignments, workload and out-of-office dates
    • Maintain a database of skills and experience for members of the creative team, work with Creative Directors to identify and recommend potential training opportunities
    • Handle day-to-day project “casting” requests, ensuring all requests are processed and accurately communicated per the current process
    • Help solve and alleviate resource concerns that arise during the general flow of work, whether due to crashing deadlines, out-of-office coverage, or illness
    • Lead weekly resourcing meetings/discussions, identifying resourcing issues, facilitating intra-team discussions and sending action-oriented recaps that keep people on task
    • Monitor utilization and billability on a weekly basis; flag timesheet non-compliance to the Director, Integrated Production and Creative Directors
    • Work with Director, Integrated Production and Account Leads to build actionable resource forecasts to identify when incremental resources may be necessary
    • Communicate weekly creative assignments, and vacation coverage to the broader account team

    Project Management of assigned client projects, as directed/assigned by the Director, Integrated Production

    • Partner with client management lead to deliver work per agreed timelines and process
    • Build and maintain project schedules and necessary scope documents
    • Forecast cross-capability resource usage via BVR tool and communicate needs with department heads
    • Identify project risks and develop mitigation strategies
    • Ensure proper internal steps are followed to maintain accuracy and quality of work
    • This includes managing proofreading, development and QA tasks
    • Track and report project status daily or weekly as required

    Project management of RFI/RFP responses in support of specific New Business requests

    • Partner with New Business lead to develop project plan for delivery
    • Work with department heads to identify the right resources to engage to respond to the effort
    • Track deliverables, due dates and accountabilities across the team
    • Track effort weekly against budget to ensure “right-sizing” of investment, including recommendations for staffing reductions/increases (based on deliverables and ask)
    • Attend project check in meetings, take notes and follow up on next steps
    • Communicate project status to department heads as required
    • Ensure project team completes deliverables on-time with highest quality by ensuring proper internal review and feedback steps are taken
    • Manage deck creation and proofreading efforts
    • Contribute scope and estimates to final response with input from department heads and oversight from the Director of Integrated Production

    WHO YOU ARE:

    • You have a Bachelors or equivalent work experience preferred
    • You have 4+ years experience in Project, Account or Resource Management at a creative agency experience preferred 
    • Having prior Talent Acquisition/HR experience is a plus
    • You have outstanding attention to detail, are highly organized, efficient and have excellent time management skills, with the ability to juggle multiple work streams, teams and meetings throughout the day
    • You understand and appreciate the creative development process and have familiarity with design tools such as, Adobe Photoshop, In Design and Sketch
    • You are able to manage disparate talents to get the right people engaged for the right projects at the right time
    • You are an excellent communicator (in person, as well as virtually!) and are proactive in building relationships  across the team including with senior level/executive team members.
    • You have excellent problem solving and follow up skills and are able to plan and map out all project steps, ensure that next steps are planned for and followed
    • You have leadership skills and good judgement; you are an empathetic steward of the teams, can be firm when necessary, recognize when flexibility is required and be adaptable.
    • You are proficient in Microsoft Excel and project tools, such as SmartSheet and Ten Thousand Feet.
