    Job Description

    Ware Malcomb is hiring a Contracts Manager in our Irvine, California office!

     

    The Contracts Analyst is a key member of the Ware Malcomb administrative team and is responsible for coordinating and reviewing contractual documents, and coordinating with external clients and legal counsel as well as internal accounting staff, CFO and Project Management teams to provide a high level of client service and ensure compliance with Ware Malcomb’s established guidelines.

    ESSENTIAL FUNCTIONS

    • Coordinate contract negotiations with clients & consultants, providing a high level of client service with the goal of reaching mutually agreeable contract terms
    • Review contracts and identify deviations from Ware Malcomb’s established contract terms; work with outside legal counsel to review & redline client-form agreements; enter contract information into accounting software; communicate contractual requirements to Project Teams and Project Accounting Team
    • Participate as a member of the negotiating team to establish terms and conditions for the contracts and suggest alternative clauses to the client for consideration
    • Adhere to established turnaround times and deadlines
    • Schedule and conduct meetings and conference calls with internal and external clients
    • Monitor contract statuses and work with Project Teams & clients to obtain executed agreements
    • Review & coordinate signature of NDA and consent/assignment forms
    • Coordinate with insurance broker to issue Certificates of Insurance per contract requirements

    ESSENTIAL EXPERIENCE:

    • A Bachelor’s degree in business, accounting, finance or a related discipline preferred
    • 5 years minimum experience working in a contracts department within the construction, architecture or other related industry
    • Experience redlining professional services agreements
    • Experience with reviewing and negotiating contract documents
    • The ability to thrive in a fast-paced environment and manage multiple deadlines
    • Excellent communication and customer service skills, written and verbal, are essential
    • Excellent oral and written communication skills, including familiarity with common legal terminology
    • Exceptional organization skills, strong self-motivator with high attention to detail
    • The ability to independently prioritize and manage multiple tasks while satisfactorily meeting deadlines and desired outcomes
    • Strong interpersonal skills, ability to work with individuals at all levels of the organization in a positive, collaborative manner
    • Proficiency in Microsoft Office applications; experience with Deltek Vision software a plus

    ADDITIONAL QUALIFICATIONS DESIRED, BUT NOT REQUIRED:

      • Paralegal certification
        • Experience in a law firm assisting with research and litigation-related transactions
        • Fluent Spanish speaker
