  • Responsibilities
    • Organize daily tasks and workflow by prioritizing and managing projects based on deadlines and business needs.
    • Calendar Management; manage Outlook calendars and handle all scheduling matters. Schedule appointments and meetings. Coordinate and update any meeting request changes that occur during the day
    • Prepare and manage correspondence, reports, presentations, etc. as needed. Sort, organize and maintain files.
    • Provide the needed administrative support to ensure effective and efficient meetings. Prepare agendas and issue meeting minutes when required. Gather and organize meeting materials in advance. Reserve conference rooms and work with Office Services for room-setups, audio-visual needs, security, transportation of materials, catering, etc
    • Coordinate all travel arrangements, both domestic and international and detailed itineraries
    • Prepare and organize itineraries for incoming visitors. Receive external visitors and ensure they are always properly escorted (when employees return to office)
    • Onboarding and orientation for new hires to the department (if requested)
    • Process monthly expense reports. Manage incoming bills and statements related to expense report processing, in a timely manner
    • Manage incoming telephone calls and take action as required. Screen telephone calls when appropriate and proactively handle any routine matters
    • Order office supplies and manage other office related procurement activities (competitive shopping) as needed
    • Proactively handle any routine matters
  • Qualifications
    • Position requires 5+ years in a corporate environment providing administrative support to senior level executives
    • Display professionalism, diplomacy, and discretion when handling matters of a confidential nature
    • Exhibit exceptional communication, writing, and organizational skills
    • Must be highly organized and detail-oriented
    • Proactive work style to anticipate potential problems and requirements. Capability to take independent action as appropriate using good judgment and discretion
    • Be able to cope to fast paced environment, work well under pressure
    • Ability to be flexible and agile, savvy and analyze facts, proactive, resourceful and draw conclusions, provide insight and problem solve, quick learner
    • Communication skills:  possess concise verbal and written skills that will allow incumbent to communicate productively with wide range of people, both internally and externally
    • Work collaboratively with all functions and departments within the organization
    • Comfortable dealing with all levels of employees and external contacts
    • Advanced computer skills including Microsoft applications – Outlook, Word, Excel, PowerPoint.
