  • Responsibilities

    Acts as assistant to Global Head of Enterprise Digital Transformation and Leadership Team as required. Standardizes work efforts, office management and acts as liaison across teams. Individual must be able to maintain confidentiality, work independently, demonstrate good judgment, self-discipline, and function effectively with minimal direction. Utmost professionalism is required for this position as well as excellent verbal, written and interpersonal communication skills. Will work in collaboration with administrative support staff as needed.

    ACCOUNTABILITIES

    • Responsible for complete calendar management to ensure efficient scheduling and time management.
    • Handles confidential documents, plans and correspondence involving senior management company-wide.
    • Arranges detailed travel itineraries (domestic and international) and meeting schedules for SVP. Prepares and submits large expense reports.
    • Coordinates schedules and attends Senior Leadership Meetings where needed. Takes meeting minutes, compiles notes, necessary documentation for meetings and follows up on action items.
    • Secures meeting rooms/conference centers and necessary AV equipment. Ensures appropriate logistical support such as catering, preparing printed materials, ensuring proper AV set up, etc.
    • Sets up high level meetings with senior management and/or across several different time zones
    • Actions special projects as assigned by the SVP and the Senior Leadership Team.
    • Prepares routine correspondence. Prepares and edits presentation slides in PowerPoint.
    • Gathers and maintains relevant information across the leadership team (i.e. vacation schedules, PDP objectives, org charts, etc.).
    • Significant flexibility in schedule with early start and late hours when required based on business demand.

    QUALIFICATIONS

     

    • Bachelor’s degree strongly preferred. High school diploma or equivalent required, plus additional formal training. 
    • Five to ten years previous experience, with most recent two to three years’ experience as assistant to a senior executive level position with the following demonstrated abilities:
      • Experience in handling multiple calendars and global meeting schedules
      • Coordinating meeting rooms/conference centers and all logistical and AV support
      • Arrange travel plans with multiple destinations, including international travel
      • Able to deal effectively with high level internal and external stakeholders
      • Excellent organization, communication and time management skills
      • Strong PC skills required: Outlook, Microsoft Office Suite, Visio.
         
    

    U.S. CORPORATE/OFFICE EXEMPT ROLES

    The anticipated base salary range for this position is $105,800 to $165,000. Exact salary depends on several factors such as experience, skills, education, and budget. Salary range may vary based on geographic location. In addition to base salary, this position is eligible for participation in a highly competitive bonus program with possibility for overachievement based on performance and company results.
