    Job Description

    One of Ajilon's top clients is hiring a Document Administrator on an immediate direct hire basis in San Francisco, CA. Do you have experience with digital and physical records management in a corporate setting? Are you passionate about organizational systems, tracking and archiving documents, and bring polished and collaborative communication skills? This may be the role for you! Note that this is a onsite position. Local candidates only. No relocation.

    You will be responsible for managing digital and physical records associated with information related to investments, tax reporting, financial institutions, estate planning, and legal entities. You will also provide support to the accounting and tax teams on administrative projects and completes ad hoc projects regularly.

    RESPONSIBILITIES:

    Finance team:

    ·         Creates bank application documents to open accounts, liaises with banks and manages bank application files

    ·         Processes monthly bank statements for several bank accounts

    ·         Organizes, files and stores wire documentation

    ·         Responsible for maintaining records in database for bank accounts and creating tracking reports

    ·         Serves as a backup for the Records Manager, wire processing, and check/invoice payments

    ·         Completes large projects such as digitizing physical files and compiling information as needed

    ·         Processes and acts as a liaison for 200+ monthly/quarterly investment reports

    Tax Team:

    ·         Maintains political filings including compiling data and completing forms

    ·         Gathers, organizes and reaches out to various parties to ensure appropriate documents are in place.

    ·         Responsible for tracking and storing tax returns, 1099’s, and K-1’s

    Document Management Team:

    ·         Manages all aspects of permanent company records. This includes scanning, saving, naming, organizing and file retention related to estate planning, investments and legal entities

    ·         Indexes, maintains and archives physical files, on and offsite

    ·         Implements naming conventions in order for information to be identifiable and quickly accessed

    ·         Revises system processes to improve efficiency and expedite document retrieval

    QUALIFICATIONS:

    ·         1-3 years of relevant work experience; records experience preferred

    ·         Bachelor’s Degree

    ·         Strong computer skills on MS Office (Word, Outlook, Excel), Adobe and experience with databases. Salesforce experience a plus.

    ·         Must be able to navigate various websites and portals

    ·         Diligent and excellent attention to detail; ability to maintains standards for confidentiality

    ·         Strong organizational skills and ability to prioritize tasks
