    JOB SUMMARY:  Under general supervision, coordinates travel for patients being referred to the Alaska Native Medical Center (ANMC) for medical care in Anchorage or outside of Alaska.

    REPRESENTATIVE DUTIES All Coordinates all travel arrangements (transportation, lodging, meals, etc.) for patients and their escorts (if applicable) referred to Anchorage or outside of Alaska for medical services utilizing a computer based program.

    Utilizes travel management computer and telephone systems to work with patients and Tribal Health Organizations (THO). 

    All requests must be in accordance with, and reviewed against, ANMC policies and procedures as well as regulations governing Alaska State Medicaid Prior Authorization to verify eligibility for travel services.

    Must communicate with ANMC providers, case managers, regional healthcare organizations and customers to ensure patient appointments, travel arrangements, lodging, transportation, and other logistics are completed as approved for medically necessary travel.

    Must be able to communicate effectively with patients and THOs to understand and honor patient travel preferences as much as possible. Must be able to understand or research parameters for patient travel requests.

    Utilizes assigned database/SharePoint site in order to track any customer, travel, lodging, transportation or billing packet follow up that is required.

    Utilize a number of computer programs to complete travel arrangements, lodging and appointment/logistic letters.

    Assists in the reconciliation process of the travel credit cards – by providing invoices, researching, refunding, etc.

    Medicaid Travel Specific: Will work closely with Prior Authorization staff to coordinate customers travel based on the authorization.  Must be able to provide billing documentation, reconcile accounting and technical information and prepare the back-up documentation for billing.

    Purchased Referred Care (PRC) Travel Specific: Prepares and submits invoices/claims and other documentation for travel reimbursement for customers with alternate health resources.

    Processes customer reimbursement requests by entering purchase orders through Plexus and check requests through the ANTHC purchasing system.  Monitors these until the reimbursements are completed.  Provides a monthly accounting report.

    Completes, researches and reconciles all purchase orders related to lodging, travel, meals and ground to ensure that payment is received in a timely manner.

    Patient Travel Coordinator III Ability to train individuals in Travel Management Office processes and work within a leadership group.

    Performs other duties as assigned or required.

    Required Skills

    KNOWLEDGE and SKILLS  All Knowledge of customer service concepts and practice. Knowledge of the Privacy Act of 1974 and HIPAA Privacy Rule Act of 1966. Knowledge of state, federal, and tribal health care programs. Knowledge of state, federal and public/private insurance, including Medicaid/Medicare. Skill in working independently or as a team member. Skill in dealing with distressed customers. Skill in grammar, spelling, sentence structure and effective business letter writing. Skill in operating office equipment, including copiers and fax machines. Skill in interpreting state, federal, and public/private insurance financing. Skill in establishing and maintaining cooperative working relationships with others. Skill in operating a personal computer utilizing a variety of software applications.

    Patient Travel Coordinator III Knowledge of Tribal Health Organizations and service units.  Proficient working knowledge of ANMC Operator Switchboard. Proficient working knowledge of Alaska Medicaid Rules and Regulations Proficient working knowledge of ANMC Prior Authorization Process.

    Required Experience

    MINIMUM EDUCATION QUALIFICATION Patient Travel Coordinator I A high school diploma or GED equivalent.

    Patient Travel Coordinator II & III Associates Degree in business or related field. Progressively responsible customer service, travel experience, or related work may be substituted on a year-by-year basis for the college education.

    MINIMUM EXPERIENCE QUALIFICATION Patient Travel Coordinator I Non-supervisory - One (1) year of customer service AND one (1) year of travel experience.  An equivalent combination of relevant education and/or training may be substituted for experience.  Patient Travel Coordinator II Non-supervisory - One (1) year of customer service AND one (1) year of travel experience or one year working for ANMC Travel Management Office as a Patient Travel Coordinator I.  An equivalent combination of relevant education and/or training may be substituted for experience. Patient Travel Coordinator III Non-supervisory – One (1) year of customer service AND one (1) year of travel experience or one year working for ANMC Travel Management Office as a Patient Travel Coordinator I.  An equivalent combination of relevant education and/or training may be substituted for experience.

    ADDITIONAL REQUIREMENTS Patient Travel Coordinator I & II Will work weekend shifts and holidays.

    Patient Travel Coordinator III Will need to be able to take call on a rotating schedule. Will need to be able to work evenings, weekends and holidays.

    WORKING CONDITIONS The following demands are representative of those that must be met by an employee to successfully perform the essential functions of this job:  Must be able to lift approximately 50 pounds.    ANMC is not a latex free facility; an employee should expect to work in an environment where latex may be present. May be occasionally exposed to infectious diseases. Ability to stand, walk or sit for varied periods of time.  May also be required to bend, twist and reach.
