  • Responsibilities

    The Operations Coordinator enables the business unit to succeed by supporting various areas of the organization. The key areas of focus for this role are administrative support in the Mavenlink and Salesforce systems, and assisting the Client Management team with project and billing execution. It is important for this role to have high attention to detail, a desire to fully understand the systems and processes, and pride in seeing their work directly impact business results.

     

    RESPONSIBILITIES 

     

    • Manage resource allocation process in Mavenlink system; work with sales for pipeline updates, ensure resources are not over-allocated, escalate resourcing issues while working with internal stakeholders
    • Create, manage and invoice client projects within Mavenlink
    • Act as primary Mavenlink administrator, including set-up, permissions, troubleshooting, data integrity, controls, entry changes, coordinating technical support, and housekeeping of the system
    • Monitor issue data for compliance and completion to facilitate quality conversations
    • Process various data audits to ensure data integrity across systems
    • Manage email compliance messaging and tracking
    • Support Sales with new business account set up and verification needs
    • Assist with QA and execution of client campaigns in e-marketing platforms
    • Ensure document integrity through organizing, maintaining, and updating working documents
    • Other tasks as assigned

    Required Skills

    • Ability to quickly learn new technology and web-based systems (previous Mavenlink experience is not needed)
    • Capable of working independently and demonstrating strong critical thinking skills for proactive problem solving
    • Excellent organizational, verbal, and written communication skills
    • Demonstrated ability to successfully manage multiple responsibilities at once
    • High sense of urgency and attention to detail
    • Ability to work effectively in a remote team environment
    • Strong sense of team with excellent customer service skills

    Required Experience

    • Minimum High School Diploma or GED equivalent
    • Experience with project management and time tracking tools a plus
    • Experience with Microsoft Office and Google Suite products a plus
