    Job Description

    JOB PURPOSE

    The Client Care Specialist supports the agency mission of providing hope and healing to those impacted by domestic violence and sexual assault by providing administrative support to direct service and leadership staff.

    RESPONSIBILITIES/ACCOUNTABILITIES

    Client Care

    Using trauma-informed, client-centered approach:

    • Greet agency visitors offering support and connections to other agency staff as requested or needed.
    • Answer agency phone calls, screen and direct clients as appropriate, provide accurate description of services, and refer to external services as necessary.
    • Act with clients in mind and work to meet client needs and expectations to the extent possible.
    • Provide crisis intervention services by telephone or in person as necessary including responding to hotline calls
    • Gather initial intake information, connect client with appropriate staff member.
    • Offer support within the Survivor Resource Center (SRC) as directed by supervisor.
    • Offer support within the Sexual Trauma Resource Center (STRC) as directed by supervisor.

    Administration

    • Maintain accurate database information by entering required client information.
    • Partner with direct care staff to maintain up-to-date client files (may include electronic/physical files); including entering clinical fees.
    • Complete record request process; offering support to agency programs.
    • Record and reconcile daily receipts according to procedure.
    • Support office function by handling mail and routinely checking Agency Fax and voicemail. Maintaining/updating staff mailboxes.
    • Maintaining supply of current STRC and Agency forms.
    • Keep client and staff work spaces clean and functioning, including lobby (coffee supplies and water), front office, and copier/mailbox area.
    • Maintain up to date inventory of needed program supplies, administrative materials, or marketing materials for staff, clients and donors, placing orders for additional agency/office supplies as needed for all agency locations.
    • Maintain and distribute petty cash according to procedure. Request additional funds when needed.
    • Manage administrative needs related to Staff Parking and Agency keys.
    • Offer support in ensuring effective documentation of any donations received within the CFSC building.
    • Adhere to agency procedures concerning Documentation, Critical Incident Reports and Client Satisfaction surveys and participate in the Quality Assurance process.

    Stewardship

    • Support agency mission by participating in agency meetings and committees as requested by supervisor.
    • Facilitate agency administration by typing and maintaining correspondence and contracts, as requested.
    • Represent Safe Alliance at CFSC Fire Safety Committee meetings.
    • Support Chief level staff with coordinating/implementing All Staff food orders and room set up for meetings.
    • Promotes and maintains professional relationships with agency staff, volunteers, and community partners

    Professional Development

    • Complete Agency, STRC, and SRC Program training requirements as assigned.
    • Maintain and develop skills and knowledge by attending training and ensuring licensure and certifications needed for the jobs are up to date.

    MINIMUM REQUIREMENTS

    • Education; High School Diploma or Equivalent
    • Experience; 1 year administrative or customer service

    PREFERENCES

    • Bachelors or Associates degree
    • Experience working with victims
    • Experience in human services field
    • Experience with office management - Spanish speaking preferred- If hired as a Spanish speaking Advocate, candidate must be fluent in understanding, speaking, reading, and writing in Spanish.
