For more information on Valley View Medical Center please visit: Job Description Valley View Medical Center Performs a variety of duties to support the Executive Administrative team (CEO/CFO/CNO). Responsible for the overall flow of the Administrative Suite and provide continued support to the Executive team. Reports to: The Administrative Assistant is directly accountable to and is ultimately responsible to the Chief Executive Officer. Essential Functions: Composes, types and transcribes correspondence, forms, reports, presentation materials and other written communication. Receives, screens and routes visitors and telephone calls Responds to, escalates and follows up on inquiries and problems as appropriate. Schedules/coordinates meetings, conferences, special events, appointments and travel arrangements. Maintains assigned calendar(s) Maintains files and office equipment in an organized fashion. Handles calls from the media diplomatically and according to release-of-information standards (HIPAA) in conjunction with Executive team. Prepared to attend appropriate committee meetings as assigned by the Executive Team. Customer Service: Promotes a positive image throughout the organization by providing cooperative and courteous service to all customers, patients, families, visitors, physicians and co-workers. Treats other employees as professionals with courtesy, honesty and respect. Maintains a positive attitude that fosters a spirit of cooperation, teamwork and respect. Addresses concerns and problems directly with other individuals involved in an appropriate, professional and respectful manner. Standard Work Practices: Demonstrates enthusiasm and self-motivation in performing job duties and requires minimal to no supervision. Acts in accordance with the highest ethical standards by assuring patient, employee and physician information is kept confidential. Orders and stocks supplies. Other duties as assigned. Job Requirements Minimum Education Required: High School Diploma Minimum Education Preferred: Associates Degree in Secretarial Science or Graduate of an accredited business college. Minimum Work Experience Required: 2 years in an Administrative Assistant capacity Required Skills: Requires impeccable respect for confidentiality of business, employee and patient information. Must be able to manage multiple projects simultaneously Accepts direction from several individuals and must be able to establish priorities and meet deadlines. Professional appearance and demeanor are essential in this highly-visible position. Critical thinking skills, decisive judgment and the ability to work with minimal supervision. Must be able to work in a stressful environment and take appropriate action. Must have strong interpersonal, oral and written communication skills. Effective human relations skills are required for interfacing with team members all levels of staff, physicians, patients, family and other contacts.
