Job Summary:
Under the general supervision of the General Manager/Owner, receives callers at branch in person or by phone, determines the nature of business and directs callers to destination. Assists with projects and other assignments as needed or directed.
Qualifications:
High School diploma or GED and two years related experience and/or training; or equivalent combination of education and experience.
Requires proficiency of multi-line phone systems and computer skills ( Microsoft Office, Word, Excel and Power Point)
Must possess and demonstrate excellent communication skills as well as a positive professional business image.
Essential Functions:
Operate multi-line telephone console to receive calls and direct incoming calls, establish conference calls and provide general information to callers. Obtains callers’ name and arrange for appointment, if necessary with the person called upon.
· Direct caller to destination, records name, time of call, nature of business and person called.
· Greets visitors, determines the nature of their business and directs them to the proper destination.
· Assist with filing duties and a variety of other clerical duties as necessary.
· Type memos, correspondence, reports and other documents.
· Collects and distributes mail and messages.
· Inventories, organizes and puts away office supplies.
· Make cookies.
· Clean reception area, bathroom and kitchen area.
· Put postage on outgoing mail. Mail paychecks.
· Receive incoming mail.
· Run errands
· Keep a supply of care notes at the front desk
· Mail out “Thank You”, “Birthday” and “Sympathy” cards when needed
