    We are searching for the best talent for an Executive Administrative Assistant - ATSC. This hybrid position can be in Springhouse, PA, Horsham, PA, Titusville, NJ or Raritan, NJ. This position may require up to 10% travel (domestic and international).

    Per our J &J Flex Policy, the expectation for this position is to work in the designated office 3-4 days per week and work from home 1-2 days per week.

    Position summary

    The Executive Administrative Assistant provides comprehensive administrative support to multiple Vice Presidents, ensuring seamless operations across calendars, travel, meetings, and departmental activities. This role requires exceptional organizational skills, proactivity, attention to detail, discretion, and the ability to manage competing priorities in a fast-paced environment.

    Key Responsibilities

    • Manage complex, dynamic calendars across multiple time zones.
    • Schedule meetings (virtual and in-person), including logistics, technology setup, agendas, and materials.
    • Organize large internal meetings and events, both onsite and offsite.
    • Have full latitude to modify work processes and workflow to enhance personal efficiency and that of the Vice Presidents and team
    • Arrange domestic and international travel via Concur. Prepare and reconcile expense reports promptly.
    • Serve as a primary point of contact between VPs and internal/external stakeholders.
    • Draft, edit, and manage highly confidential correspondence.
    • Provide timely updates and reminders for deadlines and events.
    • Maintain SharePoint sites, distribution lists, and organizational charts.
    • Coordinate recruiting activities, candidate interviews, and onboarding/offboarding processes.
    • Support departmental planning by compiling data and preparing presentations.
    • Process contracts, purchase orders, and agreements in ARIBA and e-marketplace.
    • Liaise with vendors regarding invoices and PO status.
    • Assist with budget tracking and accruals.
    • Ensure adherence to company policies, procedures, and industry regulations.
    • Maintain discretion and independent judgment in problem-solving.
    • Attend team meetings to stay informed on priorities.
    • Champion and provide recommendations for team culture
    • Flexibility to support events outside normal business hours.

    Qualifications

    • High School Diploma required; Associate degree preferred.
    • A minimum of 6 years of administrative support experience, including 2+ years supporting VP or senior leadership is required.
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
    • Familiarity with Concur, ARIBA, SharePoint, Teams, Zoom, and other productivity tools.
    • Strong calendar management and organizational skills.
    • Excellent written and verbal communication.
    • Ability to work independently in a fast-paced environment with shifting priorities.
    • Demonstrated experience interacting with senior level management, maintaining a high level of professionalism, discretion, and confidentiality.
    • Collaborative mindset and strong interpersonal skills.
    • Self-starter mentality with a strong sense of ownership, problem solving and involvement is required.
    • Based in Pennsylvania or New Jersey office; up to 10% travel required.

    The anticipated base pay range for this position is :

    $60,900 - $97,808 annually

    Additional Description for Pay Transparency:
