    In 1935 three men who had sustained injuries in WWI met in Times Square and literally changed the world for people with physical disabilities. Fedcap Rehabilitation Services provides an array of services to youth and adults, helping thousands of individuals graduate from high school, obtain vocational certification or a college degree, become work-ready, and obtain meaningful employment as they achieve long term economic well-being.

    JOB TITLE: Administrative Assistant

    LOCATIONS: South Paris, Maine, Brewer, Maine, and  Skowhegan, Maine

    FLSA STATUS: Non-Exempt

    POSITION TYPE: Full-Time

     

    POSITION SUMMARY:

    Administrative Assistant/Timekeepers provide exceptional customer service to participants and others who visit BTC Opportunity Centers. They also play a pivotal role in managing the participant flow each day and capturing participant attendance.

    ESSENTIAL JOB FUNCTIONS:

    • Upholds all agency policies and expectations in performing their job.
    • Warmly greets every visitor to their Opportunity Center.
    • Runs reports in Fedcap CARES and uses data to plan daily tasks.
    • Warmly answers and directs calls.
    • Schedules participants for appointments with BTC staff.
    • Conducts calls to program participants to remind them of orientation and other appointments.
    • Collects and time stamps documentation provided by program participants.
    • Mails outreach letters to program participants who have missed activities.
    • Mark participant attendance for internal and external activities.
    • Identifies and orders needed office supplies.
    • Ensures the reception area is always covered.
    • Ensures phones are always answered.
    • Represents Fedcap and BTC with all stakeholders and in the community in a positive and professional manner.

    EDUCATION AND EXPERIENCE:

    • High school diploma, GED or equivalent education and/or experience.
    • Demonstrated track record for providing exceptional customer service.
    • Valid driver's license, required.
