    Program Coordinator JSI 35 reviews - Washington, DC The Maternal and Child Survival Program (MCSP) is USAID/Bureau for Global Health's flagship maternal, newborn and child health (MNCH) program. MCSP advances USAIDs goal of Ending Preventable Child and Maternal Deaths, and is currently working in 25 priority USAID countries. MCSP supports the introduction and scale-up of high-impact, sustainable reproductive, maternal, newborn and child health (RMNCH) interventions in partnership with ministries of health and other partners. JSI leads the Maternal and Child Survival Programs work in child health, immunization, pediatric HIV/AIDS, health management information systems and supply chain at the global level and in countries. The MCSP Immunization Program Coordinator (PC) works under the supervision of the Immunization Senior Program Officer (SPO) to support program objectives and activities. The PC is responsible for ensuring the smooth and efficient operation of the Immunization team by providing administrative, logistical, coordination, and technical support. The PC supports technical work planning, the development and review of program deliverables, and the collection and sharing of information and preparation of reports and presentations. S/he assists the Immunization SPO to track partner/subgrantee/consultant deliverables; supports technical staff to implement and monitor activities; supports the preparation of reports, presentations, and other program materials; and provides other needed operational support to ensure that quality and timely assistance is provided to advance MCSPs Immunization agenda at the global level. In addition to supporting the Immunization team, the PC may also work under the supervision of other SPOs/Program Officers to support MCSP country program activities. S/he will support implementation, and closeout of MCSP country programs as needed. RESPONSIBILITIES Program and finance management: Assist program and technical officers in recruiting local staff, setting up field offices, and orienting field staff to JSI and MCSP systems; Process monthly wire requests, vendor payments and expense reports; Serve as headquarters point of contact with in country staff for field account processing, including reviewing documentation to ensure accuracy and working within the accounting system for timely submission of financial reports; Assist in budget development, analysis of costs and track spending against approved budgets; Initiate regular communications with HQ staff and field offices to ensure responsiveness and effective support to the HQ team and country office needs; Provide operational and administrative support to HQ and field teams, according to skills and experience; Support SPOs coordination with JSIs Immunization Center (IC) to harmonize MCSP immunization program with other immunization-related activities within the broader IC portfolio. Preparing workplans, reports and write-ups: Support the program team in workplan development and revision throughout the life of the program Assist in the preparation of reports, presentations, technical briefs and manuscripts, including tracking deadlines to ensure timely, quality reports. Support team to triage donor requests for information about MCSP global technical work Support technical staff with development of research tools, and protocols; Assist MCSP technical staff in developing and/or adapting content for strategic dissemination to internal and external audiences. Procurement: Work with program and technical officers in preparing clear, well-written specifications for goods and services (e.g., purchase orders, subcontracts, and vendor agreements); As instructed by Finance Manager (FM), obtain bids and process purchase orders. Consultants: Contribute to writing terms of reference and scope of work for consultants for global and country-specific work; Contact candidates to determine availability and collect CVs, salary histories and references; perform reference checks; document decisions leading to consultant selection; Prepare contracts and travel packets; Monitor technical deliverables and expense reports to ensure their timely and full completion; Process consultant advances and payment requests; and Provide other support needed to ensure the SOW is completed successfully. Travel: Make flight and hotel bookings for staff and consultants; manage visa processing; coordinate USAID travel approval requests; Purchase insurance for travelers as needed; Work with travelers to copyedit, format, and process their trip reports and expense reports. Assist with logistics for conferences hosted by JSI or other partners, including managing travel logistics, liaising with venue, coordinating with partner organizations, and serving as a point person for other PCs involved. Meetings: Assist with meeting logistics, including scheduling, preparing agendas, sending appointments, addressing equipment and materials needs, taking and circulating notes, and following up on action items after meetings. Coordinate with IC to organize weekly internal technical meetings; coordinate attendance of field staff, as necessary. Knowledge management: Maintain shared network drives and MCSP and JSI Intranets, archiving all key program documentation including (but not limited to): job descriptions, work plans, budgets, strategy documents, and progress and financial reports; Work with communications staff to disseminate blogs and success stories through external MCSP and JSI websites and other communication channels; Maintain print and electronic operating files, such as topical and chronological files, partner-related files, technical reports, contract deliverables, and others as required; Ensure document version control and stro QUALIFICATIONS Bachelor degree and two years of experience working in the field of international health or development; experience supporting the implementation of USAID-funded projects a plus. Proven administrative and organizational skills. Ability to work independently and in groups; manage multiple tasks concurrently; and meet deadlines with attention to detail and quality. Excellent written and oral communication skills. English fluency required. French is preferred. Excellent interpersonal skills and ability to work successfully in a multi-cultural team environment. Ability to work comfortably in the MS Office Suite applications, specifically MSWord, Excel, and PowerPoint. Experience with recent editions of Website management software and Adobe Acrobat highly desirable.
